The CEO of Staff Domain is looking for a sharp, fast-moving, and highly capable Executive & Personal Assistant to serve as his right hand across both professional and personal domains. This is not a traditional EA role - it is a high-trust, high-judgment position for someone who thinks like an operator, communicates like an executive, and executes without being chased.
You will be the filter, the fixer, and the force multiplier. If something lands on the CEO's desk, it should be because only he can handle it. Everything else is yours to own, route, or resolve.
Staff Domain is a fast-growing staffing and recruitment BPO with operations across the Philippines, South Africa, and Australia, serving clients primarily in Australia. You'll be at the center of a business that moves quickly, thinks globally, and expects the same of you.
Who You Are
- Smart and business-literate. You understand how businesses actually work — commercial drivers, operational tradeoffs, and what good looks like. You can read a contract, a P&L, or a pitch deck and get the gist.
- High EQ. You read people, rooms, and situations accurately. You know when to push, when to hold back, when to protect the CEO's time, and when to let something through.
- Fast and decisive. You move quickly without sacrificing quality. You'd rather ship a clean 90% in an hour than a perfect 100% in a week.
- Executive-grade communicator. Your written and spoken English is excellent — crisp, professional, and adaptable to any audience from a C-suite client to a plumber.
- Judgment over process. You know the difference between a detail that matters and noise. You summarise. You don't forward every email and hope the CEO figures it out.
- Internationally exposed. You've worked in or with multinational environments, are comfortable across cultures and time zones, and can hold your own with Australian, European, or American executives. Overseas work or study experience is a strong plus.
- Discreet. You handle sensitive personal and business information like it's your own.
- Self-directed. You don't need to be managed. You take a brief, clarify once, and come back with it done.
What You'll Do
You'll be the kind of person who:
Executive Support
- Manage the CEO's calendar, inbox, and priorities with sharp judgment on what matters and what doesn't
- Prepare, format, and chase down documents, briefs, and decks for internal and external meetings
- Coordinate across senior leadership and hold them accountable to deliverables on the CEO's behalf
- Take meeting minutes, track action items, and close the loop — so things actually get done, not just noted
- Handle confidential correspondence, contracts, and communications with complete discretion
Personal & Lifestyle
- Plan and book international and domestic travel (flights, accommodation, transfers, visas) — including complex multi-stop itineraries for the CEO and his family
- Manage personal appointments, household coordination, family logistics, and lifestyle arrangements
- Handle personal errands, bookings, subscriptions, and renewals end-to-end
- Coordinate gifts, events, and social engagements with taste and attention to detail
Business Operations
- Act as the first point of contact for the CEO's inbox - filter, triage, draft responses, and escalate only what truly needs his attention
- Liaise with clients, partners, lawyers, accountants, suppliers, and internal teams across PH, AU, and SA time zones
- Research, benchmark, and summarise - deliver concise, decision-ready briefs, not data dumps
- Support project tracking across Staff Domain's active initiatives and flag risks before they become issues
What You Bring
We're looking for someone with:
- 5+ years as an Executive Assistant, Chief of Staff, or senior support role to a C-suite executive or business owner
- Experience supporting executives in multinational or cross-border businesses
- Excellent written and spoken English
- Strong command of Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), and comfort picking up new tools quickly (HubSpot, Zoho, project management platforms)
- Travel planning experience, including international itineraries
- Bachelor's degree or equivalent professional experience
- Based in Metro Manila, with flexibility to work across PH, AU, and SA business hours when needed
Nice to Have
- Experience working directly with founders or CEOs (not just supporting middle management)
- Background in BPO, staffing, professional services, or high-growth businesses
- Experience managing household staff, family logistics, or personal affairs for an executive
- Exposure to legal, financial, or commercial documentation (leases, contracts, NDAs)
