Operations Assistant
Location: Remote | Type: Full-Time (Client-Dedicated Placement)
Salary Cap: Up to 70k Based on Experience
About the Role
We're looking for a detail-driven Operations Assistant to support a client's sales team by keeping the pipeline clean, organized, and moving. This role sits at the intersection of sales support and operations you won't be closing deals, but you'll make sure nothing a rep needs falls through the cracks: CRM data stays accurate, follow-ups don't slip, meetings get scheduled, and leadership always has a clear view of what's happening in the pipeline.
This is a remote, client-dedicated placement you'll work directly within the client's tools and workflows during their business hours, functioning as an embedded member of their sales team.
What You'll Do
CRM & Pipeline Management
• Keep CRM records (contacts, deal stages, notes, activity logs) accurate and up to date.
• Monitor pipeline stages and flag stalled or overdue deals to reps and managers.
• Clean and enrich lead/contact data; identify decision-makers were missing.
• Maintain and update prospect/customer lists and segmentation.
Sales Coordination & Scheduling
• Schedule and coordinate sales calls, demos, and client meetings across time zones.
• Manage calendars for sales leadership and coordinate internal sales meetings.
• Prepare agendas, materials, and follow-up notes for sales meetings.
Follow-Up & Communication Support
• Track outstanding follow-ups and proactively nudge reps or prospects as needed.
• Draft and send templated outreach emails, sequence contacts, and update campaign lists.
• Manage inbound inquiries to the sales inbox/line and route appropriately.
Reporting & Documentation
• Prepare and format weekly/monthly sales reports and pipeline summaries.
• Build and maintain presentations, proposals, and quote/order documents.
• Track sales expenses, T&E reports, and basic budget documentation.
General Operations Support
• Process orders, invoices, and basic contract paperwork.
• Coordinate with marketing on campaign lists, events, and lead handoffs.
• Take on ad hoc administrative projects as the sales team scales.
What You'll Need
• 2+ years in a sales admin, sales operations, or executive assistant role.
• Hands-on experience with a CRM (Salesforce, HubSpot, Pipedrive, or similar).
• Strong Excel/Google Sheets skills; comfortable building clean reports.
• Excellent written communication — you'll be drafting emails on the team's behalf.
• High attention to detail; you catch the small things before they become problems.
• Ability to work independently, manage multiple priorities, and meet deadlines without heavy oversight.
• Comfortable working remotely and communicating across time zones.
Nice to Have
• Experience supporting a B2B or SaaS sales team.
• Familiarity with sales engagement tools (Outreach, Apollo, LinkedIn Sales Navigator).
• Prior experience in a remote/distributed team environment.
