Role Summary
We are looking for an Executive Legal Assistant to provide essential administrative and legal support to a Principal attorney. This role is purpose-built for a candidate with prior legal experience (Legal Secretary, Legal Assistant, or Paralegal): you will manage complex calendars, draft and format legal documents, monitor court deadlines, and facilitate timely client communication, all while maintaining the confidentiality and professionalism the legal field requires.
Key Responsibilities
- Track and proactively inform the Principal of upcoming deliverables, deadlines, and key appointments
- Monitor the Principal's urgent and routine email folders, taking timely, appropriate action
- Manage complex scheduling across time zones in coordination with the Executive Assistant
- Maintain the firm-wide calendar: internal meetings, court dates, filing deadlines, key events
- Transcribe and summarize electronic dictation
- Maintain working knowledge of case summaries and progress alongside status reports and trackers
- Proofread and prepare documents; take meeting notes and follow up with clients/parties
- Ensure timely, client-focused email and correspondence management on behalf of the Principal
- Develop and maintain relationships with the internal team and top clients
- Ensure all documents comply with court rules, formatting requirements, and filing deadlines
- Draft and format legal documents: contracts, pleadings, motions, correspondence
- Prepare and format documents in Word and PowerPoint to presentation-ready quality
- Manage tasks, billing descriptions, and client billing in Clio or comparable systems
- Track billable time and reconcile case-related expenses
- Handle all firm and client information with the highest level of confidentiality and discretion
Required Qualifications
- 3+ years of experience as a Legal Secretary, Legal Assistant, or Paralegal
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with advanced document formatting
- Familiarity with legal billing and timekeeping software (Clio preferred)
- Experience with legal document management systems
- Strong knowledge of legal terminology, court filing procedures (state and federal), and case documentation
- Skilled in transcribing dictation and preparing legal documents from recorded material
- Familiarity with electronic court filing systems (state and federal)
- Proficiency in legal research using Westlaw, LexisNexis, or similar databases
- Ability to manage sensitive and confidential information with integrity
- Fully fluent in English
- Ability to work U.S. business hours (PT, CT, or ET)
Preferred Qualifications
- Bachelor's degree, ideally in Legal Studies, Business Administration, or related field
- California State Bar experience strongly desired
- Civil litigation experience in state or federal courts strongly desired
- Familiarity with the ethical use of generative AI tools in legal work
