What is the job

The Executive Assistant is responsible for providing high-level administrative and operational support to senior leadership, including calendar management, travel coordination, meeting logistics, and cross-functional communication. The role ensures smooth day-to-day executive operations while maintaining professionalism, confidentiality, and strong organizational efficiency in a fast-paced remote environment

Responsibilities:

  • Manage executive calendars, inboxes, scheduling, and meeting coordination across multiple timezones.
  • Coordinate internal and external meetings, executive offsites, travel arrangements, and event logistics.
  • Prepare documents, presentations, reports, and meeting materials for executive use.
  • Serve as a primary coordination point between executives and cross-functional teams such as Sales, Marketing, and People Operations.
  • Track executive expenses, process reimbursements, and manage related administrative documentation.
  • Support conference logistics, lunch orders, employee shipments, and operational coordination activities.
  • Organize and maintain digital files, records, and shared documentation systems.
  • Anticipate executive needs and proactively resolve operational or scheduling conflicts.
  • Assist with ad hoc administrative, operational, and logistical projects as needed.
  • Communicate professionally with executives, customers, vendors, investors, and internal stakeholders.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Utilize tools such as Google Workspace, Slack, scheduling platforms, and AI productivity tools to support daily operations

Qualifications

  • Bachelor's degree in Business Administration, Office Administration, Communications, or any related field.
  • Minimum of five (5) years of experience as an Executive Assistant, Senior Administrative Assistant, or similar executive support role.
  • Experience supporting U.S. or European-based executives.
  • Experience managing executive calendars, travel coordination, and meeting logistics.
  • Experience in Google Workspace, Slack, scheduling tools, and Microsoft Office applications.
  • Experience with AI productivity tools such as ChatGPT or Claude.
  • Must have a stable employment history.
