We are seeking a highly organized, proactive, and detail-oriented Executive Assistant with a Paralegal background to provide high-level administrative and legal support to our executive team. This role requires exceptional multitasking abilities, strong communication skills in both
English and
Portuguese, and a deep understanding of legal documentation, scheduling, and executive operations. The ideal candidate will serve as a key partner in maintaining efficiency, managing sensitive information, and ensuring smooth coordination across all aspects of business and legal operations.
Requirements
Key Responsibilities:
- Manage executive calendars, appointments, and travel arrangements, ensuring optimal scheduling and time management
- Handle confidential correspondence, including legal documents, client communications, and internal memos
- Prepare, review, and organize legal contracts, agreements, and case-related files
- Conduct legal research and compile findings into concise summaries or reports
- Maintain and update databases, case files, and document management systems
- Draft, proofread, and edit legal and business correspondence, presentations, and reports
- Act as the primary liaison between executives, clients, and partnersensuring timely and professional communication in both English and Portuguese
- Coordinate meetings, prepare agendas, take minutes, and ensure follow-up on action items
- Support business operations through project tracking, deadline management, and workflow optimization
- Assist in billing preparation, expense tracking, and other administrative financial tasks
- Anticipate executive needs and proactively resolve issues before they escalate
- Uphold confidentiality and handle sensitive information with the highest degree of professionalism
Qualifications & Skills:
- Minimum 2+ years of experience as an Executive Assistant, Legal Assistant, or Paralegal
- Strong command of English and Portuguese (both written and verbal)
- Proficient in Google Workspace, Microsoft Office Suite, and document management tools
- Exceptional organizational, time-management, and multitasking abilities
- Strong attention to detail and accuracy in all deliverables
- Excellent interpersonal and written communication skills
- Ability to work independently, prioritize effectively, and handle confidential matters discreetly
- Familiarity with legal terminology, procedures, and documentation
