The Whitehall Company is seeking an ambitious and highly organized Executive Assistant (Graduate) to join our Information Technology Department. This entry-level professional role is part of our Graduate Program, designed to provide dedicated executive, analytical, and high-level administrative support to the Deputy Director General (DDG). Key Responsibilities
Executive Administration & Workflow Management: Provide comprehensive, high-quality administrative support to the Deputy Director General (DDG); screen and prioritize incoming communications, calendar requests, and official documents; and draft formal correspondence, professional corporate memoranda, and executive summaries.
- Meeting & Event Coordination: Manage the schedule of the DDG's office, coordinate high-level meetings and workshops, prepare required briefing materials or presentations, and take precise, actionable meeting minutes.
- Cross-Departmental Liaison: Follow up on action items and deliverables with internal technology divisions, corporate departments, and external partners on behalf of the DDG's office.
- Analytical & Reporting Support: Support the compilation of departmental status updates, key performance indicators, and operational metrics; consolidate research or business inputs to assist in executive decision-making.
- Compliance & Data Privacy: Handle sensitive information with the highest degree of discretion, ensuring complete compliance with the company's security, risk, confidentiality, and administrative guidelines.
Qualifications
- Education: A Bachelor's or Master's degree in Business Administration, Information Technology, Communications, International Relations, or a closely related field.
- Experience & Mentorship: Recent graduates with limited professional experience are highly encouraged to apply, as the role offers structured exposure to executive leadership.
- Academic Excellence: Documented record of strong academic achievement (e.g., High Distinction or Distinction level results).
- Leadership & Engagement: Active participation in university organizations, leadership roles, student governance, volunteering, or meaningful internships.
- Soft Skills: Exceptional written and verbal communication skills in English; ability to present complex details clearly; outstanding interpersonal skills; and a proactive, collaborative approach to problem-solving.
- Technical Skills: High proficiency with Microsoft 365 (Word, Excel, PowerPoint, Teams) and a willingness to learn digital tools used for corporate workflow automation, reporting, or collaboration.
