About the Role

White Tiger Connections is seeking a highly organized, proactive, and reliable Executive Assistant / Virtual Office Manager to provide comprehensive administrative support to the CEO and key team members across White Tiger and Guidepoint. This critical role will help streamline operations, reduce administrative burden on leadership, and support growing business development, marketing, and operational activities. The ideal candidate is a self-starter who thrives in a fast-paced, dynamic environment, excels at managing multiple priorities, and can flexibly support both companies as needed

Key Responsibilities:

Executive Support

  • Provide high-level executive support to the CEO, including calendar management, scheduling, call handling, and email correspondence.
  • Prepare materials for meetings, track action items, and ensure follow-through on priorities.
  • Prepare reports and maintain organized records, agreements, and documentation.

Operations & Office Management

  • Support virtual office management across both entities, including coordination of tools and systems such as Zoho Projects, Riplane, licensing, and access management.
  • Handle administrative workflows including time approvals, expense processing, and document preparation.
  • Monitor operational needs including contractor oversight, onboarding, and cross-company administrative alignment.
  • Collaborate with the Manager of Market Insights and Advisory for training on key systems and processes.
  • Proactively identify opportunities to improve efficiency and take ownership of ad-hoc projects as they arise.

Marketing & Lead Support

  • Act as a central point of contact for inbound leads from marketing campaigns, ensuring timely follow-up and routing.
  • Collaborate with the marketing team on campaign logistics and lead management.

Project Coordination & Recruiting Support

  • Assist with project coordination across active initiatives spanning both companies.
  • Support recruiting operations and intern program logistics as needed.
  • Support outbound campaigns and business development activity as directed.

Qualifications & Skills:

  • 3+ years of experience as an Executive Assistant, Virtual Assistant, or Office Manager supporting C-level executives (experience in professional services, consulting, M&A, or recruiting environments is a plus).
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Strong written and verbal communication skills; professional demeanor in all interactions.
  • Proficiency with tools such as Zoho, LinkedIn, Google Workspace/Microsoft 365, project management software, and general office systems.
  • Experience supporting marketing campaigns, lead management, or recruiting processes is highly desirable.
  • Discretion, reliability, and a solutions-oriented mindset.
  • Ability to work independently in a remote/virtual setting while remaining collaborative with a distributed team.
  • Bachelor's degree preferred, but equivalent experience will be considered.
  • Ability to work 40-50 hours per week, Monday through Friday, within the 6:30 am - 4:30 pm EST window, with flexibility for personal needs
