About the Role
We are seeking an exceptional Executive Assistant to support the President of a fast-growing apparel brand.
This is a high-impact role for someone who thrives in fast-paced environments, anticipates needs before they arise, and enjoys bringing order to complexity. You'll serve as the President's strategic right hand, ensuring priorities stay organized, communication flows efficiently, and day-to-day operations run seamlessly.
The ideal candidate is highly organized, proactive, detail-oriented, and an excellent communicator who can manage competing priorities with professionalism and discretion.
Key Responsibilities
Executive Support
- Manage the President's calendar, scheduling, and meeting coordination
- Prioritize and organize incoming requests, ensuring the President focuses on the highest-value work
- Prepare agendas, meeting notes, and follow-up action items
- Track key initiatives, deadlines, and ongoing projects
Email & Communication Management
- Manage and organize a high-volume inbox
- Draft, edit, and respond to emails on behalf of the President
- Prioritize urgent communications and ensure timely follow-up
- Maintain professional communication with internal teams, partners, and external stakeholders
Travel & Logistics
- Coordinate domestic and international travel
- Book flights, hotels, ground transportation, and dining reservations
- Build detailed travel itineraries
- Adjust travel plans quickly when schedules change
Project Coordination
- Coordinate cross-functional projects and ensure tasks move forward
- Follow up with team members on deliverables and deadlines
- Maintain project trackers and organize documentation
- Assist with company initiatives, special projects, and executive priorities
Internal Communication
- Help manage Slack communications across teams
- Coordinate meetings and company updates
- Ensure important messages are communicated and followed through
- Keep information organized across communication channels
Administrative Operations
- Organize files, documents, and executive resources
- Assist with presentations, spreadsheets, reports, and meeting materials
- Process expenses and administrative requests
- Build efficient systems and processes that improve executive productivity
Qualifications
We're looking for someone who has:
- 3+ years of experience supporting C-level executives, founders, or senior leadership
- Exceptional organizational and time management skills
- Outstanding written and verbal communication
- Strong judgment and ability to prioritize independently
- High attention to detail with excellent follow-through
- Ability to handle confidential information with discretion
- Experience working in a fast-paced startup, ecommerce, consumer brand, or apparel company is highly preferred
- Comfortable managing multiple priorities without losing attention to detail
Preferred Experience
Experience with:
- Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
- Slack
- Microsoft Office
- Notion, Asana, ClickUp, Monday.com, or similar project management tools
- Travel booking and itinerary management
- Expense management platforms
- AI productivity tools such as ChatGPT or Claude is a plus
