Job Description

EExecutive Assistant to the CEO (Up to 40K + Night Differential + WFH + FREE AI Certification)

Remote | Full-time | Night Shift (11PM-8AM)

You own the operational bandwidth and executive presence of the CEO for a leading U.S.-based medical dermatology practice. You are not just managing a schedule; you are a strategic gatekeeper responsible for orchestrating complex clinical and administrative workflows, managing high-stakes stakeholder communications, and ensuring the CEO's objectives are met with zero friction. You eliminate administrative noise by mastering calendar logistics, travel arrangements, and sensitive executive correspondence in a high-compliance medical environment.

This is a high-accountability role that exists to stabilize and scale the leadership operations of a multi-specialty clinical practice. Best suited for seasoned EAs who thrive in high-stakes U.S. business hours, value extreme discretion, and prefer structured, high-impact ownership over reactive tasks.

You're Likely a Strong Fit If You Have

  • Proven experience providing executive-level support to C-suite leaders or senior medical management.
  • Exceptional mastery of calendar and travel logistics, with a zero-error mindset for complex scheduling.
  • Strong stakeholder management skills, capable of communicating professionally with clinical staff, partners, and external vendors.
  • Absolute discretion and the ability to handle high-priority, confidential medical and business information.
  • Willingness to work a permanent night shift (11:00 PM8:00 AM PH Time) in a fully remote setup.

Strong Signals

  • Proficiency in Google Workspace, Microsoft Office, Slack, and Zoom within a professional context.
  • Resourcefulness in problem-solving and handling high-pressure executive requests independently.
  • Prior experience in the U.S. healthcare or clinical administration sector is a significant advantage.

Responsibility Pillars

Executive Governance & Calendar Mastery

You own the CEO's most valuable asset: time.

  • Architect and manage a complex, multi-site clinical and administrative calendar to ensure peak productivity.
  • Coordinate intricate domestic and international travel arrangements, including accommodations and detailed itineraries.
  • Prioritize and triage high-volume email correspondence, ensuring the CEO is focused only on high-value decision-making.

Stakeholder Liaison & Communication

You act as the professional extension of the CEO's voice across the organization.

  • Manage professional communications with internal medical staff and external stakeholders with clarity and poise.
  • Prepare high-level reports, presentations, and executive summaries for board or partnership meetings.
  • Serve as the primary point of contact for executive-level inquiries, resolving issues before they reach the CEO.

Project Stewardship & Discretion

You are the trusted partner for sensitive projects and clinical operations.

  • Lead high-priority administrative projects, ensuring deadlines are met across various clinical departments.
  • Maintain strict confidentiality in alignment with medical privacy standards (HIPAA) and business protocols.
  • Develop and maintain documentation of executive workflows to ensure long-term operational consistency.
