Job Description

Executive Assistant to the CEO | Onsite/Hybrid | FREE AI Certification)

Cebu City – IT Park | Onsite when CEO is in-country; Hybrid during travel periods | Day Shift (7:00 AM – 4:00 PM PH Time)

You operate as the CEO's execution engine—ensuring that every instruction, communication, and priority is translated into clear, tracked, and completed actions with zero drop-off.

This role exists to eliminate execution gaps, enforce operational discipline, and ensure the CEO remains focused on high-value strategic work. You will own the flow of information, tasks, and follow-through across the organization.

This role is best suited for individuals who are highly structured, extremely detail-oriented, and relentlessly accountable for outcomes—not activity.

YOU'RE LIKELY A STRONG FIT IF YOU HAVE

  • Minimum of 3–5+ years of experience as an Executive Assistant, Operations Assistant, or similar high-execution support role supporting senior or C-level executives.
  • Strong experience in managing executive calendars, inboxes, and task pipelines in fast-paced environments.
  • Proven ability to independently execute instructions, follow through without reminders, and manage multiple competing priorities.
  • Experience using CRM systems, task management tools, and Microsoft Office (Outlook, Excel, Word, Teams).
  • High level of written communication skill for drafting, summarizing, and structuring executive-level information.

STRONG SIGNALS

  • Experience supporting founders, CEOs, or senior leadership in high-growth or high-pressure environments.
  • Naturally structured thinker with strong bias for order, clarity, and follow-through.
  • Familiarity with SOP creation, workflow documentation, or operational process improvement.
  • Exposure to AI tools or automation platforms used for productivity or workflow optimization.

RESPONSIBILITY PILLARS

Executive Control & Communication Management

  • You own the CEO's time and communication flow end-to-end.
  • Manage inbox prioritization, responses, and conversion of all communications into tasks, calendar actions, or delegations within the same day.
  • Maintain zero actionable backlog (≤24 hours).
  • Own calendar management, ensuring scheduling accuracy, conflict prevention, and full meeting preparedness (agenda, participants, materials).

Execution Tracking & Accountability Enforcement

  • You ensure nothing the CEO assigns is ever lost, delayed, or untracked.
  • Convert all CEO instructions into structured tasks with clear ownership and deadlines.
  • Maintain a single source of truth for all tasks across individuals and departments.
  • Follow up persistently until completion or escalation, surfacing blockers and risks proactively.

Operational Systems & Business Execution

  • You translate direction into structured operational output across the business.
  • Convert CEO inputs into tasks, SOP updates, CRM entries, or assigned actions.
  • Manage CRM logging for all inbound leads, ensuring proper tagging, tracking, and follow-through.
  • Build structure around recurring workflows to ensure consistency and scalability.

Process Optimization, AI Integration & Ad Hoc Execution

  • You continuously improve how execution happens inside the organization.
  • Develop and maintain SOPs for recurring workflows and new processes.
  • Identify inefficiencies and implement improvements using structured thinking and AI tools.
  • Support urgent, unstructured, or high-priority CEO requests with speed, autonomy, and accuracy.
