The Executive Assistant (EA) provides high-level administrative support to the [CEO], ensuring efficient operation of the executives office. The EA handles a wide range of administrative and executive support tasks, works independently with minimal supervision, and is well-organized, flexible, and able to maintain a high level of professionalism and confidentiality.
- Manage and maintain the executives schedule, including appointments, meetings, and travel.
- Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients and stakeholders.
- Prepare internal and external documents for team members and industry partners.
- Draft reports, memos, letters, and other documents.
- Organize and prepare for meetings, including gathering documents and attending to logistics.
- Make travel arrangements and itineraries, including accommodations, transportation, and meetings.
- Maintain an organized filing system of paper and electronic documents.
- Assist with special projects and other duties as assigned.
- Handle sensitive information with discretion and maintain confidentiality.
- Liaise with other staff and departments to ensure efficient communication and workflow.
- Bachelor's degree in Business Administration or related field (preferred).
- Proven experience as an executive assistant or in a similar role.
- Strong organizational, project management, and problem-solving skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and under pressure, and manage multiple priorities.
- High level of discretion and confidentiality.
