Job Description

Job Summary:

The Executive Assistant provides high-level administrative support to the Management Team, ensuring the efficient operation of the executive office. This role involves managing schedules, handling confidential correspondence, coordinating meetings and travel, and serving as a liaison between the executive and internal or external stakeholders.

Key Responsibilities:

  • Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and organize reports, presentations, and other documents as needed.
  • Handle incoming communications (calls, emails, letters) and prioritize or respond as appropriate.
  • Coordinate and follow up on tasks, deadlines, and action items discussed in meetings.
  • Serve as the primary point of contact between the executive and other departments, clients, and business partners.
  • Maintain confidentiality and discretion in handling sensitive company and personal information.
  • Organize and manage files, records, and databases for the executive office.
  • Assist in the preparation and tracking of budgets, expense reports, and reimbursements.
  • Support company events, meetings, and special projects as directed by the executive.
  • Perform other administrative duties as assigned.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • At least 2-3 years of experience as an Executive Assistant or in a similar role.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Discreet, professional, and capable of handling confidential information.
  • Ability to work under pressure and manage multiple priorities.
  • Strong interpersonal skills and attention to detail.
