Job Summary:
The Executive Assistant provides high-level administrative support to the Management Team, ensuring the efficient operation of the executive office. This role involves managing schedules, handling confidential correspondence, coordinating meetings and travel, and serving as a liaison between the executive and internal or external stakeholders.
Key Responsibilities:
- Manage and maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
- Prepare and organize reports, presentations, and other documents as needed.
- Handle incoming communications (calls, emails, letters) and prioritize or respond as appropriate.
- Coordinate and follow up on tasks, deadlines, and action items discussed in meetings.
- Serve as the primary point of contact between the executive and other departments, clients, and business partners.
- Maintain confidentiality and discretion in handling sensitive company and personal information.
- Organize and manage files, records, and databases for the executive office.
- Assist in the preparation and tracking of budgets, expense reports, and reimbursements.
- Support company events, meetings, and special projects as directed by the executive.
- Perform other administrative duties as assigned.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field.
- At least 2-3 years of experience as an Executive Assistant or in a similar role.
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Discreet, professional, and capable of handling confidential information.
- Ability to work under pressure and manage multiple priorities.
- Strong interpersonal skills and attention to detail.
