Job Description

We are seeking a highly organized and tech-savvy Executive Assistant to provide comprehensive support to our executives. The ideal candidate should reside within a 5 kilometers of Makati, possess exceptional organizational skills, and excel at research tasks. This role is crucial in ensuring the efficient operation of our office and supporting our leadership team.

Job Hours: 3PM - 12AM PST / (6AM - 4PM PHT) - On call as needed

Key Responsibilities:
  • Administrative Support:
    • Manage executives calendars, schedule appointments, and coordinate meetings
    • Arrange travel itineraries, accommodations, and logistics
    • Handle phone calls, emails, and correspondence on behalf of the executives
    • Prepare and proofread documents, reports, and presentations
  • Research and Information Gathering:
    • Conduct in-depth research on various topics, industry trends, and competitors
    • Compile data and reports for decision-making purposes
  • Tech-savvy Expertise:
    • Proficiently use digital tools, including office productivity software, email clients, and cloud-based platforms
    • Troubleshoot technical issues independently or coordinate with IT support when necessary
    • Stay up-to-date with the latest technology trends and tools relevant to the role
  • Communication and Liaison:
    • Act as a liaison between the executives and internal/external stakeholders
    • Maintain a professional and courteous demeanor in all interactions
    • Assist in drafting and distributing internal and external communications
  • Organization and Efficiency:
    • Prioritize tasks and ensure deadlines are met
    • Maintain an organized cloud based filing system for documents and records
    • Streamline processes and implement best practices to increase efficiency
  • Local Errands:
    • Run local errands, including but not limited to banking transactions, handling company paperwork, visiting computer stores for office supplies, and researching office buildings and meeting areas in Makati
  • Confidentiality:
    • Handle sensitive information with the utmost discretion and confidentiality
    • Ensure compliance with data protection and privacy regulations


  • At least 6 years proven experience as an executive assistant
  • Resides within a 5 kilometers from Makati
  • Strong tech-savvy skills with proficiency in office software and research tools
  • Excellent communication and interpersonal skills
  • Exceptional writing skills
  • Exceptional calendar skills
  • Exceptional organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to work independently and under pressure
  • Discretion and a strong sense of professionalism
  • Bachelor's degree or relevant certification is a plus

Other Requirements

  • Strong verbal communication skills
  • Being able to manage multiple projects at the same time
  • Available for scheduled and ad-hoc calls/meetings/chats during weekdays working
  • Quiet workspace, conducive to video meetings & calls
  • Access to a reliable high-speed Internet connection; at least 25MBPS
