Manage executive calendars, appointments, meetings, travel arrangements, and daily schedules
Prepare reports, presentations, correspondence, meeting agendas, minutes, and other executive documents
Screen, prioritize, and coordinate incoming communications, including emails, phone calls, and requests
Monitor deadlines, follow up on action items,and ensure timely completion of executive priorities
Handle confidential information, records, and documents with the highest level of discretion
Administrative & Office Management
Oversee the day-to-day administrative operations of the office to ensure an organized, efficient, and professional work environment
Coordinate office maintenance, repairs, housekeeping, building management, and utility services
Monitor office supplies, pantry items, company assets, and office equipment, and coordinate procurement, inventory, maintenance, and repairs
Maintain organized records of permits, licenses, contracts, insurance, and other company documents
Coordinate meetings, trainings, company events, visitor management, and other administrative activities
Liaise with vendors, service providers, government agencies, and external partners regarding administrative requirements
Operational Support
Assist management in monitoring projects, departmental initiatives, and operational action plans
Prepare reports, trackers, and status updates for management review and decision-making
Support process improvement initiatives by identifying administrative efficiencies and recommending enhancements
Coordinate cross-functional communication to ensure smooth execution of executive directives and company initiatives
Perform other executive, administrative, and operational duties assigned by the management
Minimum Qualifications
At least 1-2 years of experience as an Executive Assistant , Administrative Officer, Office Administrator, Executive Secretary, or in a similar administrative role
Experience providing direct support to senior executives or management is an advantage
Experience in office administration, project coordination, or facilities management is preferred
