The Role
We're seeking an Executive Assistant - Program Coordinator. This role is designed for someone who brings a proactive, tech-savvy approach to high-level executive support and thrives in a fast-paced, multi-client environment.
You'll play a key role in supporting our client's partners, with an initial focus on assisting CEO Peer Groups — managing calendars, coordinating communications, organizing meetings, and handling light social media activity.
Location: Must be in The Philippines – Remote.
Environment: Philippines and International Teams.
Language: Advanced English (B2+ - C1).
Time zone: Monday to Friday – 9:00 AM – 6:00 PM Central Daylight Time (10:00 PM – 7:00 AM Philippine Standard Time), follows Philippine holidays.
Contract: Full Time
Requirements
- Education: Bachelor's degree in a related field preferred.
- Experience: Demonstrated expertise in supporting executives, including high-level calendar and email management; proven experience in a multi-client environment with strong adaptability; experience with light social media and online engagement.
- Skills: Technical expertise required; proficiency in CRM systems (e.g., Go High Level); strong command of Microsoft Office/Google Workspace; excellent written and verbal communication skills; familiarity with workflow automation and AI tools; experience with email marketing and social media coordination (LinkedIn)
- Characteristics: Detail-oriented with strong organizational and analytical skills; independent, self-directed worker comfortable in an autonomous environment; proactive and adaptable across multiple clients and priorities.
Responsibilities
- Provide day-to-day administrative support to the VP and Peer Group Directors, including calendar coordination, database management, task tracking, and accounts payable/receivable.
- Manage recruitment and member coordination, including onboarding/offboarding logistics, intake forms, agreements, payment processing, and CRM updates.
- Serve as the primary point of contact for Titan Peer Group facilitators, supporting their logistical needs, distributing materials, and managing performance documentation.
- Assist with sponsorship and event coordination, including webinar setup, calendar invites, reminder emails, and tracking registration and engagement metrics.
- Maintain accurate CRM records, support workflow automation efforts, and compile data for recruitment, engagement, and retention reporting.
- Coordinate marketing and communication initiatives, including email campaigns, LinkedIn content, newsletters, and proofreading promotional materials.
