Job Description

We are seeking a high-performance Executive Assistant to serve as the strategic polymath for our leadership team. This is an elite-track role designed for an individual who can act as an extension of the CEO and COO. You will be responsible for information synthesis, time protection, and ensuring that executive directives do not end with leadership but are executed across the organization.

Minimum Qualifications:

Key Responsibilities:

  • Executive Workflow Orchestration: Manage high-complexity calendars for the CEO and COO, protecting deep-work blocks while prioritizing mission-critical meetings, deadlines, and strategic commitments.
  • Meeting Lifecycle & Action Tracking: Facilitate leadership and C-suite meetings by preparing agendas, capturing high-fidelity notes, and rigorously tracking action items across teams to ensure timely follow-through and zero-gap execution.
  • Information Synthesis & Executive Communications: Consolidate cross-departmental updates into concise executive summaries, dashboards, and board-ready presentations (Google Slides / Canva), ensuring clarity, accuracy, and alignment with leadership's strategic narrative.
  • Operational Bridge & Cross-Functional Coordination: Act as the connective tissue between leadership and internal teams, translating high-level decisions into clearly defined milestones, owners, and timelines, and following up to ensure execution stays on track.
  • Governance & Leadership Support: Support board and executive processes by organizing materials, tracking approvals, managing documentation, and maintaining structured records for key meetings, resolutions, and ongoing initiatives.
  • Operational Support & Process Enablement: Assist the COO with operational tracking, process documentation, and basic financial or administrative support (e.g., budget tracking inputs, vendor coordination), helping improve visibility and efficiency across the organization.
  • Special Projects & Strategic Initiatives: Support ad hoc strategic projects led by the CEO and COO, coordinating timelines, dependencies, and updates while proactively flagging risks or blockers.
  • Confidentiality & Judgment: Handle sensitive information with a high degree of discretion, professionalism, and sound judgment, serving as a trusted extension of the executive office.

Minimum Qualifications:

  • Fresh Graduate with a stellar academic record or a Young Professional with 1-2 years of experience in high-stakes project coordination.
  • Intellectually curious with the ability to get it immediatelytransitioning seamlessly between creative, technical, and financial contexts.
  • Expert proficiency in Google Workspace and AI tools (ChatGPT/Gemini) to automate bottlenecks.
