Role Summary
UEP is hiring an Executive Assistant, People & Culture to partner directly with the Director of Global People & Culture and help run a lean, high-output HR function. This is not a scheduling-only role. You will own defined pieces of the People & Culture operation outright, from HR systems administration to contractor and compliance support, while also managing the Director's calendar, communications, and cross-functional coordination. We're looking for someone who treats ownership as the default, not the exception: someone who sees a gap, closes it, and reports back rather than waiting to be told.
Key Responsibilities
- Serve as the primary point of coordination for the Director's calendar, meetings, travel, and cross-functional scheduling.
- Own day-to-day administration of core HR systems (GoCo, ClickUp, Workable, Deel, Rippling), data entry, workflow upkeep, and troubleshooting.
- Support payroll and benefits administration cycles, international contractor onboarding via Deel, and related compliance documentation.
- Draft, format, and maintain HR communications, policy documents, and SOPs for the Fig/Docebo LMS.
- Coordinate the full employee/contractor lifecycle paperwork: offer letters, onboarding checklists, status changes, and offboarding.
- Prepare materials, agendas, and follow-up trackers for leadership meetings, reviews, and recurring People & Culture initiatives.
Who You Are
- You handle sensitive personnel, compensation, and compliance information with discretion and sound judgment - always.
- You notice recurring pain points in HR operations and fix them or propose a fix, rather than waiting to be told.
- You default to ownership, you'll naturally claim one or more standing work streams (e.g., onboarding coordination, LMS content upkeep, recognition programs) as your own.
What You Bring
- 3-5 years of experience in HR administration, HR coordination, or as an Executive Assistant supporting an HR/People function.
- Comfort working across multiple HR systems and a genuine interest in keeping them clean and current.
- Fluency in English required for effective communication with global teams.
- Excellent written communication, you can draft a policy update, a team announcement, and a meeting recap equally well.
- A track record of managing confidential information with professionalism and discretion.
- Strong organizational instincts: nothing falls through the cracks on your calendar or your task list.
- Experience supporting a distributed or international workforce is a plus, especially US-based teams.
- Self-direction, you're energized by owning outcomes, not just completing tasks.
