About The Role
We are seeking a brilliant, high-autonomy
Executive Assistant & Operations Coordinator to serve as the internal engine of our growing business. This is not a standard data-entry or purely administrative role. You will act as the right-hand operator to the Executive, taking ownership of our internal operations, back-end tech infrastructure, team accountability, and social media execution.
Your mission is to handle the day-to-day execution and optimization so the Executive can focus entirely on high-level strategy and client growth. We heavily leverage AI (specifically
Claude) and automation, and we want someone who will proactively find better, faster ways to scale our processes.
Key Responsibilities
- Internal Operations & Tech Infrastructure
- Maintain, audit, and optimize our core operational tracking and content management systems (primarily built within Google Workspace: Drive, Docs, Sheets).
- Research, recommend, and lead the implementation of new lean tech tools and no-code automations (e.g., Zapier, Make.com) to streamline workflows.
- Document Standard Operating Procedures (SOPs) based on video walkthroughs (e.g., Loom) and continually look for ways to optimize them using AI agents.
- Backend Social Media & Scale Management
- Technical setup, provisioning, and ongoing management of multiple internal and specific project-related social media accounts (handling back-end configurations, security, and profile warming).
- Execute the formatting, AI-driven optimization (using Claude), and scheduling/posting of content across various profiles at scale.
- Track industry news, trends, and algorithm updates daily, flagging critical changes to the Executive.
- Team Accountability & Reporting
- Act as the Executive's proxy to follow up with internal team members, ensuring deadlines are met and deliverables are accurate.
- Gather raw monthly data across various accounts, plug them into Google Workspace trackers, and utilize Claude/AI to draft clean, insightful performance reports for executive review.
- Executive & Personal Support
- Manage a variety of ad-hoc personal tasks for the Executive, including lifestyle research (vacations, vehicles, personal bookings, etc.).
- Protect the Executive's time by filtering information and proactively solving operational bottlenecks before they escalate.
Required Qualifications
- Education: Bachelor's Degree (BA/BS) required (Business, Communications, or IT backgrounds preferred).
- Language: Immaculate, near-native written and spoken English.
- AI Literacy: Demonstrated experience using Claude or ChatGPT for text formatting, data analysis, prompting, and workflow acceleration.
- Autonomy: A proven one-instruction worker. You can watch a quick training video, replicate the task perfectly, and build a process around it without requiring micromanagement.
- Reliability: Highly organized with a proactive mindset—you anticipate needs and fix inefficiencies before being asked.
