Executive Assistant & Office Manager

About the Role

Human Nature is looking for a highly organized, proactive, and dependable Executive Assistant & Office Manager to provide executive, administrative, and personal support to our three founders while overseeing the day-to-day operations of our Paseo de Sta. Rosa office. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and has a strong sense of ownership, initiative, and service.

Beyond executive support, you will help create a safe, organized, and efficient workplace by managing office operations, coordinating projects, supporting HR initiatives, and serving as the office's designated Safety Officer.

Key Responsibilities

Executive & Project Management Support

  • Provide executive and administrative support to the Chairman, President, and Creative Director.
  • Assist in coordinating projects, tracking deliverables, and following up on action items.
  • Research, canvass, and cost out office equipment, materials, and services (e.g., staff events, consolidated supplier gifts).
  • Track and manage company filings and regulatory deadlines — e.g., Intellectual Property registrations, Business Permit renewals — ensuring timely compliance

Calendar, Transmittal & Meeting Management

  • Manage calendars, schedules, appointments, and travel arrangements for the founders.
  • Route and prioritize transmittals and executive correspondence for the 3 founders.
  • Coordinate internal and external meetings, ensuring all logistical requirements are in place.
  • Prepare meeting materials, screen documents, enhance presentations when needed, and record meeting minutes.

Office & Facilities Management

  • Oversee the daily operations of the Paseo de Sta. Rosa office.
  • Ensure office facilities, equipment, and supplies are well-maintained and readily available.
  • Plan and optimize office layout and seating arrangements to support business needs and team growth.

Vendor & Budget Management

  • Coordinate with and negotiate with vendors and service providers for office maintenance, repairs, cleaning, and utilities.
  • Prepare, monitor, and manage the office operations budget, ensuring cost-effective solutions for office needs and supplies.
  • Partner with the IT team to ensure office equipment and technology resources remain operational.

Workplace Safety & Compliance

  • Serve as the designated Safety Officer for the office.
  • Implement workplace safety programs and ensure compliance with company and regulatory standards.
  • Coordinate regular safety inspections, drills, and related activities.

HR & Administrative Support

  • Support general HR and administrative activities, including employee communication and company announcements.
  • Maintain an updated company directory and employee records.
  • Assist in employee onboarding, interviews, orientations, and the implementation of HR and safety initiatives.

Qualifications

  • College degree preferred; demonstrated experience in a similar capacity carries equal or greater weight.
  • At least 5 years of experience as an Executive Assistant, Office Manager, Executive Coordinator, or in a similar role, with verifiable references.
  • Experience supporting senior executives or C-level leaders.
  • Excellent verbal and written communication skills in English.
  • Experience working with expatriates or multicultural teams is required.
  • Strong organizational, planning, and project coordination skills.
  • Demonstrates initiative and the ability to anticipate executive and operational needs.
  • Strong problem-solving and decision-making abilities.
  • Highly reliable, discreet, and able to handle confidential information with professionalism.
  • Team-oriented with excellent interpersonal and stakeholder management skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
  • Experience with volunteer work or NGO work is a plus.
  • Strong alignment with the company's advocacy and mission.
