Job Summary

The client is seeking a highly organized and detail‑oriented Executive Assistant to support executive leadership while playing a key role in agent onboarding, carrier contracting, and commission operations. This role goes beyond administrative tasks and serves as an operational bridge between agents, insurance carriers, and leadership to ensure smooth contracting, accurate commission tracking, and timely reporting.

Key Responsibilities

Carrier Contracting & Agent Onboarding

  • Manage end‑to‑end agent contracting across multiple insurance carriers
  • Track contracting status and follow up with carriers and agents
  • Ensure documentation is complete, accurate, and compliant
  • Maintain organized digital records of licenses, contracts, and appointments
  • Serve as primary contact for agent contracting inquiries
  • Support onboarding workflows to ensure agents are ready to sell

Commission Processing & Tracking

  • Review and reconcile commission statements
  • Identify missing or incorrect payments and escalate issues
  • Track agent production and commission trends
  • Maintain accurate commission records in CRM systems (e.g., Zoho)

Reporting & Data Management

  • Prepare agent production, commission, and contracting reports
  • Maintain clean and accurate CRM data
  • Build dashboards and reports to support leadership decisions

Executive & Operational Support

  • Provide administrative and project support to leadership
  • Assist with workflow improvements and SOP documentation
  • Coordinate with training and marketing teams to support onboarding and production goals

Job Requirements

  • 3+ years of experience as an Executive Assistant, Operations Assistant, or Administrative Professional
  • Experience in insurance operations, carrier contracting, agent onboarding, or commissions preferred
  • Strong attention to detail and organizational skills
  • Experience with CRM systems (Zoho preferred)
  • Proficiency in Excel / Google Sheets for reporting and reconciliation
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast‑paced environment
  • High level of integrity and confidentiality
