Your Role: As an
Executive Assistant, you will provide high-level administrative and organizational support to the company's leadership team. You will serve as a key coordination point across multiple departments - Marketing, Sales, Finance, Production, and Operations - ensuring that meetings, reports, and key deliverables are efficiently managed and completed on schedule.
You will:
- Schedule, organize, and prepare materials for recurring department meetings (Marketing, Sales, Finance, Production, and Operations).
- Collate agenda items, take notes, and document action items to ensure follow-through.
- Track and compile monthly reports such as marketing schedules, sales forecasts, and financial summaries.
- Coordinate with internal stakeholders to collect data for financial and production reporting.
- Monitor project and departmental deliverables, following up on pending actions to ensure deadlines are met.
- Maintain efficient time and calendar management for executive and departmental meetings.
What You Need:Non-negotiables- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum of 3 years of experience as an Executive Assistant, Administrative Officer, or similar role.
- Proficiency in MS Office and online meeting tools (Teams, Zoom).
- Experience managing calendars, reports, and departmental coordination.
- Excellent organizational and documentation skills.
Preferred skills/expertise- Experience in supporting multiple departments or stakeholders.
- Strong attention to detail and ability to manage competing priorities.
- Effective written and verbal communication skills.
- Familiarity with report generation, meeting notes, and action tracking.
- Experience working in a corporate or BPO environment is an advantage.
