Job Summary
The Executive Assistant provides high-level administrative, operational, and personal support to senior management while also fulfilling chief-of-staff responsibilities. This role includes sourcing supplies, contractors, and service providers, facilities management, administrative tasks, policy documentation, and general company support to ensure smooth day-to-day operations.
This position requires someone highly organized, proactive, trustworthy, and capable of handling both strategic coordination and hands-on responsibilities.
Key Responsibilities
Executive & Chief of Staff Support
- Act as a trusted support to management, helping coordinate priorities, schedules, and follow-ups
- Track action items from meetings and ensure timely completion across departments
- Assist in preparing reports, presentations, and internal communications
- Help align teams by following up on commitments and ensuring execution of management directives
- Serve as a point of coordination between departments when needed
Local Purchasing, Supplies, Contractors & Facilities
- Source, evaluate, and coordinate supplies, contractors, and service providers (office supplies, operational needs, construction, maintenance, IT, CCTV, medical, etc.)
- Handle local purchasing for office and operational requirements, including consumables and urgent needs
- Request quotations, compare pricing, negotiate when needed, and manage vendor relationships
- Coordinate facilities-related needs including repairs, maintenance, utilities, and general office upkeep
- Ensure all purchases, services, and facilities activities are properly documented and aligned with company processes
Administration & Policy Documentation
- Support administrative tasks across departments as needed
- Assist in drafting, organizing, and maintaining company policies and internal documentation
- Help improve workflows and standard operating procedures
Personal Errands & Executive Support
- Manage personal errands and ad hoc requests for management (e.g., pickups, drop-offs, bookings, scheduling)
- Provide flexible support as required to help management focus on higher-level priorities
General Company Support (All-Around Utilities)
- Assist various departments with operational needs as they arise
- Support onboarding/offboarding logistics and coordination with HR
- Take ownership of special projects assigned by management
Qualifications
- At least 4 years of experience in a similar Executive Assistant, Administrative Officer, or Operations Support role
- Proven experience supporting senior management in a fast-paced environment
- Very strong English writing skills (able to draft professional emails, policies, reports, and internal documents independently)
- Advanced Excel skills (comfortable with formulas, organizing datasets, tracking reports, and building simple summaries)
- Strong organizational and time-management skills with the ability to handle multiple priorities
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and integrity
- Proactive, resourceful, and solutions-oriented
- Comfortable handling both office-based work and field tasks (contractor coordination, purchasing, errands)
- Proficient in productivity tools (email, spreadsheets, documents)

Work Schedule
- Monday to Friday: Compressed work schedule (9:00 AM 7:00 PM)
- Alternating Saturdays (twice a month):
- 9:00 AM 4:00 PM, or
- 8:00 AM 3:00 PM
