Executive Assistant
Salary Range: $865 to $1,200 per month
Join a growing residential architecture firm and become the organizational backbone behind a busy, fast-moving operation. You'll bring structure to active projects, schedules, client communication, and team priorities while helping the owner and drafting staff stay ahead of commitments. This is a high-ownership role for someone who thrives on creating order, following through, and keeping a constantly changing workflow organized.
What You'll Do:
- Create and manage the owner's daily schedule, including project reviews, appointments, calls, and follow-ups.
- Track active projects, deadlines, and next steps, and send reminders to keep commitments on schedule.
- Help organize the drafting team's workload and make sure urgent projects are prioritized.
- Handle routine client communication by phone, text, WhatsApp, and email, making sure each inquiry is answered and moved to the next step.
- Schedule client calls and appointments and provide updates on project status, delays, and revised timelines.
- Collect basic information from new clients, including property addresses, project details, and surveys.
- Pass client requests and project changes to the appropriate drafting team member.
- Contact building or zoning departments for basic property information and help coordinate simple plan revisions.
- Learn the basics of reading residential plans so you can understand client questions and know when to involve the owner.
- Maintain an organized system for projects, schedules, communications, and outstanding tasks.
Who You'll Work With:
Be an integral part of a growing residential architecture firm, working closely with the owner and a three-person drafting team to keep projects, schedules, client communication, and daily priorities organized. You'll serve as a central point of coordination, helping the team stay accountable while ensuring information and requests move smoothly to the right person.

- Adaptable: Handles changing priorities and stays productive in a fast-moving environment.
- Experience: General professional experience is required. Construction or personal assistant experience is a plus.
