We are seeking a highly skilled and detail-oriented Executive Assistant with expertise in Salesforce & CRM support, finance administration, and executive-level coordination. This role requires a proactive individual who can manage CRM systems, provide financial support, and ensure seamless administrative operations while supporting senior executives. The ideal candidate will have a proven track record in Salesforce management, strong financial acumen, and exceptional organisational and communication skills.
As we continue to scale operations nationally, this role will play a vital part in supporting our Finance, Admin and Operations teams. It is designed for a well-rounded Executive Assistant who can work across multiple functions with a strong focus on financial coordination and business operations.
Purpose Of The Position
This role is intended to provide high-level executive and administrative support across the business with an emphasis on finance, reporting, customer account management and cross-functional task execution. The Executive Assistant will collaborate closely with all team members and provide direct support in key areas including:
- Operational and CRM-based admin support tasks
- Accounts support and reconciliation
- Customer communication and reporting
- Document and process management
- Executive support as required
This role requires strong initiative, independence and experience handling business-critical admin functions.
Key Responsibilities & Duties
Finance & Business Support
- Assist with Finance reporting, reconciliations, remittance advice processing
- Support collections and account follow-up communications
- Prepare basic financial summaries, checklists and reconciliation reports
- Monitor overdue payments and follow up internally and externally
Administrative & Operational Support
- Assist with case handling, document preparation and internal record updates via Salesforce (or SFX)
- Maintain digital files, process documents and job records
- Support office and project reporting requirements using Salesforce reports & Excel.
Customer & Internal Communication
- Draft and send professional email communications with clients and stakeholders where required
- Maintain shared inboxes and ensure responses are timely and aligned with tone/brand
- Liaise across departments to ensure smooth workflow and task progression
Executive Support
- Support Business Manager & Finance team with case tracking & prioritisation of tasks, required follow-ups and escalations.
- Assist with internal reporting packs or administrative tasks required by leadership
- Minimum 2 years experience in an administrative or executive support role
- Demonstrated experience supporting finance functions (Xero preferred)
- High computer literacy (Microsoft Office, Excel intermediate to advanced)
- Excellent written and verbal English communication
- Proven ability to work independently, manage competing priorities and meet deadlines
- Experience using Salesforce or similar CRM systems.
