Job Description
We are seeking an Executive Assistant to the CEO who is a high-agency, resilient, and tech-savvy operator who serves as the primary force multiplier. This role goes beyond standard calendar coordination; the EA acts as the CEO's operational gatekeeper, brand representative, content coordinator, and strategic driver across internal departments and external partners in the podcasting industry.

- Proactively manage, filter, and optimize the CEO's calendar, ensuring priority alignment, zero meeting overlaps, and protected deep-work time.
- Coordinate schedules, production assets, research, and logistics for the CEO's podcasts, speaking engagements, media appearances, and social media content.
- Serve as a diplomatic, professional first point of contact for external executives, brand clients, podcast hosts, and industry partners on behalf of the CEO.
- Bridge leadership directives to internal teams (e.g., Show Producers, Brand Partnerships, Client Success), maintaining a firm follow-up system to ensure 100% on-time execution.
- Manage executive email channels, summarize long, complex meetings into concise action items, and draft high-level correspondence.
- Leverage AI productivity tools (ChatGPT, Gemini, Claude) and digital task managers (Google Workspace, Slack, Notion) to automate administrative workflows and speed up executive decision-making.
- 2+ years of experience in executive support, project coordination, media/content assistance, or high-level virtual assistance.
- Demonstrates strong problem-solving under pressure and handles fast-paced priority shifts with composure.
- Advanced proficiency in Google Workspace, Slack, Notion, and generative AI tools (ChatGPT/Gemini) for drafting, research, and workflow automation.
- Outstanding verbal and written English communication skills; capable of tailoring communication appropriately when following up with creative teams versus drafting formal executive updates.
- Metro Manila-based (or highly accessible) for occasional in-person client events, shoots, or C-suite meetings.
