The Executive Assistant (EA) provides high-level administrative and operational support to multiple executives, ensuring seamless day-to-day coordination, effective communication, and efficient execution of business priorities. This role requires a seasoned, highly organized, and proactive professional who can operate independently, manage competing priorities, and act as a reliable extension of the executives they support.
The ideal candidate is a plug-and-play Executive Assistant with strong stakeholder management skills, excellent business communication, and the ability to handle confidential matters with professionalism and discretion.
Key Responsibilities
- Manage and oversee the calendars of multiple executives, including meetings, appointments, business reviews, and travel schedules.
- Anticipate scheduling conflicts and proactively adjust priorities to maximize executives time, efficiency, and productivity.
- Screen, prioritize, and manage emails, calls, and other communications; respond on behalf of executives when appropriate.
- Prepare, draft, proofread, and finalize reports, presentations, correspondence, and business documents.
- Create executive-level reports, trackers, and presentations using Google Workspace, Canva, and other productivity tools.
- Organize and coordinate meetings, including agenda preparation, meeting logistics, minutes of meeting (MOM), and follow-through on action items.
- Summarize discussions, decisions, and key action points clearly and concisely for executive review.
- Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
- Handle meeting and event logistics such as venue coordination, room bookings, catering, and technical setup.
- Liaise and negotiate with internal and external stakeholders, vendors, and business partners on behalf of executives.
- Take ownership of administrative and operational tasks with minimal supervision and ensure timely completion of deliverables.
- Maintain confidentiality of sensitive information and business matters at all times.
- Support executives in managing changing priorities, urgent requests, and fast-paced business requirements.
Qualifications
- Bachelor's degree in Business Administration, Communications, or any related field.
- Minimum of 5+ years of experience as an Executive Assistant supporting senior leaders or executives.
- Proven experience handling multiple executives in a fast-paced corporate environment.
- Strong communication skills, both written and verbal, with the ability to interact professionally across all organizational levels.
- Excellent organizational and time management skills with strong attention to detail.
- Highly proactive, resourceful, and capable of working independently with minimal supervision.
- Strong stakeholder management and negotiation skills.
- Ability to multitask, prioritize effectively, and work under pressure.
- High level of discretion and professionalism in handling confidential information.
- Advanced proficiency in Google Workspace, particularly Sheets and Slides.
- Experience using Canva or similar tools for presentations and reporting materials is preferred.
- Strong analytical and reporting skills with the ability to prepare executive summaries and business reports efficiently.
