The Role
We're seeking an
Executive Assistant. This role is designed for a highly proactive, detail-oriented professional who thrives in fast-paced environments and enjoys supporting multiple executives.
You'll play a key role in ensuring executive operations run smoothly by managing calendars, communications, CRM processes, and task execution while maintaining alignment with EOS practices.
Location: Must be in Colombia Remote.
Environment: Colombian and International Teams.
Language: Advanced English (B2+ - C1).
Timezone: Monday to Friday 7:00 AM 4:00 PM PST.
Contract: Non-fixed Term Colombian Contract.
Requirements
- Education: Technical degree or professional studies in Administration, Business, Communications, or related fields (preferred).
- Experience: Previous experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior. Experience working with international clients or executives is highly desirable.
- Skills:
- Advanced calendar, email, and task management
- Strong CRM and data entry experience (Pipedrive or similar).
- Proficiency with Google Workspace, Asana, and CRM tools
- Excellent written and verbal communication in English
- Characteristics:
Highly proactive and solution-oriented (not reactive)
- Exceptional attention to detail and follow-through
- Strong judgment, discretion, and reliability
- Calm, flexible, and steady under pressure and deadlines
- Able to support multiple executives with different communication styles
Responsibilities
Calendar Management/EOS Session Tracking:
- Manage complex calendars, prioritize appointments, and proactively resolve scheduling conflicts
- Coordinate internal and external meetings, including agenda preparation and follow-up
Email Management
- Monitor and manage inboxes; draft, proofread, and organize communications on behalf of executives
- Ensure timely responses and flag urgent issues
Leads Management
- Data entry into Pipedrive CRM, scheduling VTH/90MM, and following the detailed leads management process as written in Trainual
Travel Management
- Task Management
- Follow through on delegated tasks and ensure nothing falls through the cracks
- Track to-dos and key deliverables across multiple projects (through Asana)
- Communication with clients
- pre-and post-session emails, scheduling of sessions, & etc.
- Facilitating weekly same-page (L10) meetings with the Implementer they support
- Data Entry/CRM Reporting
- Software utilization: a combination of Google Workspace for Business, Asana, EOSWW CRM, and Pipedrive for all of these tasks
