Position Summary

The Executive Assistant will support APAC based consultants, primarily coordinating calendar appointments (candidate interviews with consultants and clients, client meetings and internal meetings), along with providing broader administrative support as outlined below.

This role will act as a key point of contact between consultants and internal or external stakeholders and will work closely with other Executive Assistants across the team to provide support and coverage where required.

The position is critical to ensuring an outstanding client and candidate experience, while supporting the efficient delivery of search assignments to clients. This is a full-time rolewithin a flexible work environment.

Principal Accountabilities

  • Scheduling of calls and meetings with candidates and clients
  • Scheduling client and candidate interviews
  • General calendar management for consultants
  • Assisting with database/CRM updates for candidates and clients as needed
  • Assisting with list generation (in excel from our database) for candidate search and networking events purposes
  • Help to project manage HR leadership networking meetings
  • Supporting scheduling of one-on-one meetings around HR Leader meetings
  • Assisting with checking and saving commercial documents such as business terms and client contracts
  • Weekly Job Sheet updates in the system on behalf of consultants
  • Monthly expense submissions
  • Submitting digital NDAs (Non-Disclosure Agreements) or free-will requests to candidates
  • Assisting with proofing and formatting of candidate resumes and long reports
  • Travel arrangements (flights, hotels, meeting venues) and preparation of travel itineraries for the team
  • Support consultants in preparing and formatting client proposals, pitch materials and presentations.
  • Conduct industry and market research to identify potential clients, talent pools and insights to support business development activity.
  • Maintain and update business development materials, CRM records and SharePoint resources.

Qualifications and Experience

A successful applicant will have:

  • Minimum of 5+ years experience in an assistant, administration or support role
  • Has previously supported senior executives
  • Ability to multitask and prioritise tasks effectively
  • Strong attention to detail
  • Excellent time management and organisational skills
  • Strong verbal and written communication skills in English
  • Ability to act as a gatekeeper and escalate relevant information to executives when appropriate
  • Ability to handle confidential information with discretion
  • Experience working with cloud-based applications
  • Quick learner with the ability to work effectively with minimal supervision
  • Strong interpersonal skills
  • Experience within an executive search, recruitment or professional services firm is preferable
  • Previous experience putting together marketing and sales presentations in PowerPoint
  • Experience working with US based clients/leadership is a must
