Overview
We are seeking a highly organized and proactive Executive Assistant to provide direct support to the CEO and two senior team members. This role focuses on calendar management, email communication, scheduling coordination, executive administration, and operational support. The ideal candidate is detail-oriented, professional, and comfortable managing multiple priorities while working independently in a fast-paced remote environment.
Schedule:
- Full-Time (40+ hours per week) | Monday to Friday, aligned with U.S. business hours - EST (approximately between 7:00 AM – 4:00 PM)
Responsibilities
Executive Calendar & Schedule Management
- Manage and maintain calendars for the CEO and senior leadership team
- Coordinate meetings, video calls, appointments, and business commitments
- Schedule internal and external meetings while avoiding conflicts across multiple calendars
- Send calendar invitations and ensure all participants receive accurate meeting details
- Provide reminders and proactive updates regarding upcoming priorities and deadlines
- Coordinate business lunches, dinners, reservations, and events when required
Email & Communication Management
- Manage and organize professional email correspondence on behalf of executives
- Draft, review, and send clear and professional communications
- Prioritize important messages and ensure timely follow-ups
- Act as a reliable point of contact for administrative inquiries
- Handle occasional outbound calls to clients, vendors, and business contacts
- Maintain a professional and polished communication style across all interactions
Administrative & Operational Support
- Support day-to-day administrative tasks for leadership operations
- Maintain organized files, documents, and internal information systems
- Track tasks, follow-ups, and action items to ensure completion
- Support coordination between leadership, internal teams, and external contacts
- Use digital tools and communication platforms to streamline workflows
Requirements
- Proven experience as an Executive Assistant, Personal Assistant, or senior administrative support professional
- Experience directly supporting executives, founders, or business owners
- Strong written and verbal English communication skills
- Professional phone etiquette and confidence handling business communications
- Exceptional organization and calendar management abilities
- Strong attention to detail with ability to manage multiple schedules simultaneously
- Ability to prioritize tasks and work independently without constant supervision
- Comfortable working remotely and taking ownership of responsibilities
- High level of confidentiality and professionalism when handling sensitive information
Highly Regarded Skills & Experience:
- Experience supporting multiple executives at the same time
- Familiarity with tools such as Google Workspace, Microsoft Office, Zoom, and calendar management platforms
- Experience using digital phone systems or U.S.-based dialers
- Experience creating processes, reminders, and organizational systems
- Previous experience supporting fast-growing businesses or leadership teams
