Job Description

Remote Administrative Assistant – Property Management (US Client | Full-Time)

We are seeking a highly organized and proactive Remote Administrative Assistant to support a fast-paced US-based property management team. This role is ideal for someone who thrives in structured operations, enjoys coordination work, and can keep multiple moving parts organized in a remote environment.

What you'll do:

* Act as a key point of contact for internal teams, tenants, and external vendors

* Manage calendars, schedule meetings, and coordinate appointments across US time zones

* Support property administration tasks including lease documentation, tenant onboarding, and record-keeping

* Track tasks, deadlines, and follow-ups to ensure smooth daily operations

* Prepare, submit, and reconcile expense reports and invoices

* Maintain organized files, contact lists, and internal documentation

* Handle day-to-day communications via email, phone, and messaging tools

* Support senior management with ad hoc administrative tasks

* Use Travel & Expense (T&E) platforms such as Brex, Ramp, Concur, or Bill.com for expense processing and reporting

What we're looking for:

* 3+ years experience as an Administrative Assistant, Office Admin, or Property Admin

* Strong experience supporting US-based clients or remote teams (preferred)

* Familiarity with office management systems, CRM tools, and property-related workflows

* Experience using T&E or expense reporting platforms (Brex, Concur, Bill.com, Ramp, etc.) is a strong plus

* Proficiency in MS Office (Excel, PowerPoint) and Google Workspace

* Strong communication skills (written and verbal)

* Highly organized with strong multitasking and problem-solving abilities

* Able to work independently in a fast-paced remote setup
