The Executive Assistant provides high-level administrative support to the companys executive leadership. This role is responsible for managing calendars, coordinating meetings and travel, handling confidential communications, and ensuring the executives day-to-day operations run smoothly. The Executive Assistant serves as a gatekeeper, organizer, and key point of contact both internally and externally.
Key Responsibilities
- Manage the executives calendar, schedule appointments, and coordinate meetings
- Prepare and organize meeting materials, take minutes, and track action items
- Draft, proofread, and manage emails, memos, presentations, and reports
- Coordinate travel arrangements, accommodations, and itineraries
- Serve as the liaison between the executive and internal/external stakeholders
- Maintain confidentiality of sensitive documents and information
- Monitor and prioritize emails, calls, and messages on behalf of the executive
- Organize and maintain office files, contacts, and records
- Assist in project tracking and deadline management
- Perform other administrative duties as assigned by the executive
- Bachelors degree in Business Administration, Management, Communication, or related field
- At least 2 years of experience as an Executive Assistant or in a similar administrative role
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- High level of discretion and professionalism
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and scheduling tools
- Ability to multitask, prioritize effectively, and meet deadlines under pressure
- Strong attention to detail and problem-solving abilities
