Role Overview
The Executive Assistant and Sales Outreach Specialist provides high-level executive support while actively contributing to sales outreach and opportunity generation. This role is responsible for managing schedules and communications, coordinating day-to-day business activities, and proactively engaging prospective partners to secure meetings and support growth initiatives. Proven experience as an Executive Assistant or Sales Assistant and CRM systems such as HubSpot, Apollo or similar is absolutely required.
Executive and Administrative Support
- Manage the CEO's inbox including sorting, prioritising and drafting responses
- Manage the Digital Director's inbox including organising emails and action lists
- Coordinate internal and external communications on behalf of the executive team
- Prepare documents, summaries and follow up notes for meetings
- Schedule and confirm appointments and manage calendars
- Maintain task lists and ensure important actions are completed on time
- Assist with general administration tasks as required
Sales Outreach and Appointment Setting
- Research and identify builders, developers, and industry groups for outreach
- Send structured email sequences to introduce Green Homes
- Follow up until an appointment is secured
- Make outbound calls when required to confirm meetings or qualify opportunities
- Manage CRM entries and keep all communication records up to date
- Book meetings directly into executive calendars
- Prepare short briefs on each lead before the meeting
- Support the early stages of business development so the executives can focus on closing
Communication and Coordination
- Act as the first point of contact for new opportunities
- Provide daily updates on leads, follow ups and urgent tasks
- Liaise with team members and external partners as needed
- Assist with the organisation of documents, proposals and presentations
Requirements
- Excellent written and spoken English
- Proven experience as an Executive Assistant or Sales Assistant is absolutely required.
- Confident phone manner and willingness to make outbound calls
- Highly organised with excellent attention to detail
- Ability to manage two or three executive inboxes with discipline and accuracy
- Strong follow up and task management skills
- Experience with CRM systems such as HubSpot, Apollo or similar is required
- Comfortable working independently and taking initiative
- Ability to learn quickly, especially regarding construction, sustainability, and digital systems
Work Environment & Expectations
While this is a work-from-home position, it is important to note that this is a full-time rolenot a freelance or flexible-hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment.
This role requires:
- Discipline and commitment to set working hours (strict shift times, not flexible)
- Use of time tracking software during work hours
- Active participation in team and client calls with your camera ON
- Consistent availability and responsiveness throughout your shift
- Treating this as a long-term, full-time jobnot a side gig or freelance task
Payroll is processed bi-monthly.

Benefits

Monthly Salary: Php 35,000
2. Salary will be paid on a bi-monthly basis on the 15th and 30th or 31st of each month
3. You will be paid extra for overtime and Philippines public holidays

SHIFT TIMES: 5:30AM to 2:30PM Philippine time, Monday to Friday
