Job Description
Inbox Management
- Take full ownership of the CFO and Presidents email inboxes
- Ensure Inbox Zero is maintained daily by triaging, organizing, and responding to emails as appropriate
- Proactively filter out spam and irrelevant communications using rules, deny entries in Fusemail and best practices
- Leave only emails that require direct executive attention or response
- Draft and send professional correspondence on behalf of the executives
Calendar & Scheduling
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
- Anticipate scheduling conflicts and proactively resolve them
Communication & Coordination
- Act as the primary liaison between the executives and internal/external stakeholders
- Prepare and review communications, presentations, and reports for executive meetings
- Coordinate logistics for meetings, conferences, and events, including venue selection and materials preparation
Administrative Support
- Create, maintain and organize confidential files and ensure the integrity of sensitive information
- Monitor and prioritize incoming requests, ensuring timely follow-up and resolution
- Assist with special projects and perform research to support executive initiatives
IT Support
- Manage IT Support Cases and Salesforce development coordination
- Build reports using Power BI and similar
- Sage 100 and Salesforce updates
- Performs all other duties as assigned

Education And/or Experience
- High School Diploma (or GED or High School Equivalence Certificate)
- Bachelors degree preferred, two or more years commercial electrical experience; or equivalent combination of education and experience
Language Skills
- Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents
- Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community
- Ability to effectively present information to management, public groups, and/or board of directors
- Ability to interact clearly and effectively, in both written and oral communication, with supervisor, clients, staff, vendors, etc.
Mathematical Skills
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
Computer Skills
- To perform this job successfully, an individual should be proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
Non-Negotiable Skills & Requirements
- Working knowledge of Power BI for data visualization and executive dashboards
- Experience using Sage 100 for financial or operational support
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and multitasking abilities with a keen attention to detail
- Outstanding verbal and written communication skills
