Job Description

This is a remote position.

Virtual Rockstar is hiring a full-time Executive Assistant & Social Media Virtual Assistant on behalf of a growing outpatient physical therapy practice.

This role is primarily an executive assistant role — taking ownership of recurring administrative tasks, reporting, HR support, and staff accountability functions that are currently consuming leadership's time. As a secondary function, this VA will manage the practice's social media presence, create content, and support website management to help grow the brand online.

Key Responsibilities

Executive & Administrative Support — Primary Focus

  • Manage and coordinate leadership calendars and scheduling

  • Generate and organize KPI reports and data assessments using Google Sheets/Excel

  • Handle research, information gathering, and vendor management tasks

  • Track and manage staff PTO, compliance training, and continuing education requirements

  • Monitor plan of care compliance and flag items requiring follow-up

  • Hold staff accountable for completing reports and administrative responsibilities on time

  • Create and maintain Standard Operating Procedures (SOPs) and training tools

  • Support task and project coordination across the leadership team

  • Set reminders and manage online purchases or recurring administrative needs

  • Assist with job postings on Indeed and LinkedIn, review incoming applicants, and conduct basic phone screening before passing qualified candidates to leadership

  • Support basic onboarding processes for new hires

  • Prepare documents and support time management for the two business owners

Social Media & Marketing — Secondary Function

  • Create, plan, and schedule content across social media platforms (LinkedIn and others currently in use)

  • Manage and grow the practice's social media presence with consistent, engaging posts

  • Respond to comments, messages, and inquiries across social platforms

  • Hold staff accountable for contributing content and meeting social media expectations

  • Manage website updates and general website maintenance

  • Support basic SEO awareness and help build on existing SEO efforts already in place

  • Track social media performance and provide analytics reports to leadership

  • Create content using Canva or similar design tools

  • Google Workspace (Gmail, Docs, Sheets, Drive)

  • Prompt (EHR)

  • Weave (Communications)

  • Fathom (Meeting Notes)

  • Medbridge (Continuing Education)

  • Thryv (Current Marketing Platform — transitioning)

  • ADP (Payroll/HR)

  • Indeed & LinkedIn (Recruitment)

  • Canva or equivalent design tools



Requirements

  • Proven executive assistant or administrative background with experience supporting business owners or leadership teams

  • Highly organized, detail-oriented, and able to manage multiple priorities and deadlines independently

  • Experience with data entry, KPI reporting, and Google Sheets/Excel

  • Comfortable with basic HR and recruitment support tasks including job posting, applicant screening, and onboarding

  • Experience in social media management and content creation is required

  • Proficient in Canva or similar design platforms

  • Excellent written and verbal English communication skills

  • Proactive, resourceful, and able to bring ideas and suggestions to leadership without being prompted

  • Proactive communicator who surfaces issues and solutions, not just problems

  • Experienced in both executive/administrative support and social media content creation
