Position Type: Full Time

Location: Philippines (Remote)

Schedule: Monday-Friday, 8am - 5pm PST

Salary Range: Php75,000 - 100,000

They work at a high level with global clients, corporate partners, and internal teams—driving formulation, manufacturing, speaking engagements, retreats, and digital program launches.

They are seeking a proactive and highly organized Remote Executive Assistant to help manage daily operations, communications, and scheduling while enabling us to focus on high-impact priorities. This role will evolve with the company, with opportunities for growth and specialization.

About the Role

The Executive Assistant & Community Manager will directly support company founders by managing inboxes, scheduling and coordinating meetings, organizing tasks, providing daily summaries and follow-ups, and communicating on-the-fly as needed. The ideal candidate is detail-oriented, tech-savvy, and operates with a high degree of professionalism and confidentiality.

Additionally, you will support the early development of their online community, assisting with posting updates, welcoming members, and light moderation. More advanced community tasks may be added over time.

This position is ideal for someone who loves being in a dynamic environment, enjoys interacting professionally with clients and collaborators, and wants to grow with a rapidly expanding organization.

Responsibilities:

1. Inbox Management

  • Monitor multiple email inboxes daily
  • Draft, organize, flag, and prioritize messages for response
  • Ensure timely follow-up on key communications

2. Calendar & Scheduling

  • Coordinate meetings with clients, partners, and internal stakeholders
  • Manage daily calendars, appointments, presentations, and travel coordination
  • Prepare agendas and track action items from meetings

3. Operations & Task Coordination

  • Organize tasks, deadlines, and reminders in project/task management tools
  • Communicate with team members to ensure project follow-through
  • Prepare and format documents, presentations, and reports when needed

4. Daily Briefings

  • Provide a concise daily summary of:
  • Inbox priorities
  • Tasks requiring attention
  • Meetings — scheduled, upcoming, and follow-ups needed

5. Relationship Support

  • Assist with outreach responses and maintain contact lists
  • Help nurture relationships with existing and new potential clients
  • Competencies and Qualifications

Must-Have

  • 2+ years experience as an Executive Assistant or Operations Coordinator (remote experience preferred)
  • Outstanding written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Ability to handle changing priorities and urgent tasks
  • Proficient in:

-Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)

-Zoom or other virtual meeting platforms

-Whatsapp communication

-Project management tools (Notion, Asana, Trello, Monday, etc.)

-CRM experience a bonus
