We're Hiring: Executive Assistant (Remote Philippines)

Location: Canada (Company HQ) | Remote role based in the Philippines

Employment Type: Full-Time

Our company, a growing food processing business in Canada, is looking for a highly organized, proactive, and self-managed Executive Assistant to support daily operations and help drive the company's next stage of growth. This role combines executive assistance, administrative management, and light bookkeeping, and requires someone who takes initiative, communicates clearly, and thrives with minimal supervision.

As our Executive Assistant, you will work directly with the company founder while also acting as the primary administrative lead for the entire organization.

Key Responsibilities
  • Act as the personal Executive Assistant to the company founder.
  • Manage daily administrative and operational tasks across the company.
  • Use Odoo ERP extensively for data entry, inventory, documentation, and operational workflows.
  • Prepare, organize, and maintain company documentation, SOPs, and internal processes.
  • Assist in finalizing licensing requirements and regulatory documentation.
  • Support bookkeeping tasks, including data entry, reconciliations, and financial organization.
  • Coordinate schedules, communicate with suppliers and partners, and manage internal task flows.
  • Identify gaps in processes and propose improvements proactively.
  • Maintain confidentiality and exercise excellent judgment at all times.
Ideal Candidate
  • Based in the Philippines with availability to work Canadian business hours as needed.
  • Self-managed, proactive, and able to work with minimal supervision.
  • Strong background in administration, executive assistance, and bookkeeping.
  • Experience using Odoo ERP (or similar ERP systems).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to create documentation and SOPs independently.
  • Tech-savvy, solutions-oriented, and comfortable operating in a growing company.
  • Experience supporting a founder or senior executive is an asset.
  • Experience in the food industry is a plus, but not required.
