This is a career-focused administration role for someone who genuinely loves administrative work and views it as their professional specialisation. You'll be the operational backbone of our firm, enabling our legal team to focus on delivering exceptional client outcomes. To be successful in this role, you will have extensive administrative experience and demonstrate:
Minimum Experience:
- You must have 5+ years of proven work experience as Admin Assistant with an Australian law firm.
The role includes:
- Managing partner diary coordination and email management with attention to detail.
- Processing invoices efficiently and coordinating accounts receivable follow-up.
- Client onboarding and new matter setup, providing clients with seamless administrative support.
- Supporting our legal team with brief preparation, court documentation, and file management.
- Office operations management including supply coordination and maintaining professional office standards.
- Acting as the primary administrative contact for client inquiries with professionalism and care; and
- Proactive identification and implementation of process improvements to enhance firm efficiency.
Other Qualifications:
- Minimum of 5 years administrative experience in professional services, preferably legal.
- Minimum of 5 years administrative experience in professional services, preferably legal, with exposure to financial administration (invoicing, accounts receivable).
- Experience with practice management software and CRM systems.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with practice management software and CRM systems.
- Demonstrated ability to work in a fast-paced and dynamic environment.
- Self-confidence and composure when managing multiple competing priorities.
- Ability to work autonomously with minimal supervision while knowing when to seek guidance.
- Excellent written and verbal communication skills with attention to detail and accuracy.
- A proactive approach with excellent problem-solving skills and solutions-oriented mindset.
- Advanced interpersonal skills including active listening and ability to communicate effectively with diverse stakeholders.
- Excellent time management and task prioritization skills with ability to manage competing deadlines.
