Job Description

Job Title: Part-Time Executive (Administrative Support)

Employment Type: Part-Time

Schedule: 5 hours per day, Monday to Friday [1pm to 6pm AEDT] or 10AM to 3PM Manila Time

Role Overview

We are seeking a reliable and detail-oriented Part-Time Task Manager to provide administrative support across daily operations. This role focuses on managing communications and schedules efficiently to ensure smooth workflow and timely coordination.

Key Responsibilities

Call Management

  • Answer, screen, and direct incoming calls professionally
  • Take accurate messages and ensure timely follow-ups
  • Handle routine inquiries and escalate urgent matters as needed

Email Management

  • Monitor and organize inboxes daily
  • Respond to emails promptly and professionally
  • Flag priority communications and maintain clear records of correspondence

Calendar Management

  • Schedule, reschedule, and coordinate appointments and meetings
  • Manage conflicts and ensure efficient time allocation
  • Send reminders and maintain up-to-date calendars

General Administrative Support

  • Maintain organized digital records and documentation
  • Assist with task tracking and follow-ups
  • Support team members with administrative coordination as required

Requirements

  • Proven experience in administrative or virtual assistant roles
  • Strong communication skills (written and verbal)
  • Excellent organizational and time-management abilities
  • High attention to detail and ability to multitask
  • Proficiency in email platforms, calendar tools, and basic office software
  • Ability to work independently and maintain confidentiality

Preferred Qualifications

  • Experience in remote or virtual administrative support
  • Familiarity with CRM or task management systems
