Role Overview
We are looking for an energetic and organised Events Coordinator based in Manila to help us build Xinference's presence across Southeast Asia through events, partnerships, and community activations. You will be the engine behind our on-the-ground event programme — identifying the right venues, partners, and audiences, and executing events that connect Xinference with developers, startups, enterprises, and academic communities.
This is a hands-on, relationship-driven role. You will spend as much time out building partnerships as you will at your desk planning logistics. The ideal candidate is proactive, resourceful, and genuinely excited about the AI and developer ecosystem.
Key Responsibilities
University & Academic Partnerships
- Identify and proactively reach out to universities, colleges, and technical institutions across the Philippines and Southeast Asia to establish event collaboration agreements
- Develop and pitch Xinference workshop and seminar programmes suitable for computer science, data science, and engineering faculties
- Build relationships with student societies, AI clubs, and research groups to create ongoing grassroots presence on campus
- Coordinate guest lecture opportunities, hackathons, and co-branded events with academic partners
- Maintain and grow a network of academic contacts across target institutions
Accelerator & Startup Ecosystem Outreach
- Identify and build relationships with startup accelerators, incubators, and innovation hubs across Manila and the broader SEA region
- Pitch Xinference as an AI infrastructure partner for accelerator cohorts — arranging workshops, demo sessions, and integration support for portfolio companies
- Represent Xinference at accelerator demo days, pitch events, and startup community gatherings
- Develop partnership agreements with accelerators that create recurring event and content collaboration opportunities
Partner & Community Outreach
- Reach out to Xinference's network of technology partners, system integrators, and resellers to co-host events and community activations
- Build relationships with developer community organisers, local tech meetup groups, and open-source communities to identify collaboration and co-promotion opportunities
- Coordinate with the BD team to ensure enterprise partner relationships are leveraged for joint events and client-facing engagements
- Manage ongoing partner communication and ensure partners are equipped with the right materials and context ahead of joint events
Event Planning & Execution
- Conceptualise, plan, and execute a range of event formats: developer meetups, technical workshops, hackathons, lunch-and-learns, enterprise roundtables, and community socials
- Manage end-to-end event logistics: venue sourcing and booking, catering, AV and equipment, speaker coordination, run-of-show, registration, and on-the-day management
- Build and maintain an events calendar across Manila and SEA markets, coordinating timing with the broader marketing and BD team
- Brief and manage external vendors, suppliers, and contractors as required for event delivery
- Ensure all events are on-brand, professionally executed, and deliver a strong attendee experience
Post-Event & Community Follow-Up
- Capture attendee data and ensure prompt, relevant follow-up to convert event contacts into community members, newsletter subscribers, and enterprise leads
- Produce post-event recaps, social content, and photography/video assets that extend the reach of each event online
- Report on event performance against KPIs: attendance, engagement, partner feedback, leads generated, and community growth
- Maintain a centralised CRM of event contacts, partner relationships, and outreach status
Qualifications & Experience
Required
- 2+ years of experience in event coordination, community management, partnership development, or a related role
- Demonstrable track record of planning and executing events end-to-end — from initial concept through to post-event follow-up
- Strong relationship-building skills — comfortable initiating outreach and developing partnerships with universities, accelerators, and community organisations from scratch
- Excellent organisational skills and attention to detail; able to manage multiple events and workstreams simultaneously
- Strong written and verbal communication skills in English; Filipino language skills a significant advantage for local relationship-building
- Proactive self-starter who can operate with a high degree of autonomy in a fast-paced, early-stage environment
- Genuine interest in technology, AI, developer tools, or the startup ecosystem
Preferred
- Experience working with or within university ecosystems, student organisations, or academic partnerships
- Existing relationships with accelerators, incubators, or startup communities in Manila or wider Southeast Asia
- Familiarity with the AI, open-source, or developer tools landscape — you don't need to be technical, but you should be able to hold a credible conversation about the space
- Experience coordinating events across multiple cities or markets simultaneously
- Basic experience with event management tools, CRM platforms, or marketing automation
Nice to Have
- Experience producing event content — photography, short-form video, social media coverage — to amplify events online
- Existing network within Manila's tech, startup, or developer community
- Experience working in or with a China-headquartered company or across cross-cultural teams
- Familiarity with platforms such as Eventbrite, Luma, or Meetup.com for event promotion and registration management
