Job Summary

To support the Events Coordinator in the coordination, administration and delivery of conferences and events, ensuring all functions are executed in accordance with the Quest Franchise System and the Quest Way.

The role is responsible for assisting with event setup and pack down, managing enquiries and bookings, supporting clients during events, and contributing to the delivery of a premium conferencing experience.

Experience (Highly Desirable)

  • Experience in F&B Experience, ideally in the banquet and events space
  • Minimum 1 year experience in reception, customer service or events
  • Experience within accommodation or hospitality environment
  • Exposure to sales or demonstrated sales mindset

Key Responsibilities

  • Event Operations
  • Coordinate meeting and conference room configurations
  • Recheck event run sheets prior to commencement
  • Support catering and stock requirements
  • Follow up post-event for feedback and repeat bookings
  • Client Service & Experience
  • Respond to enquiries within 2-hour turnaround time within office hours (9am to 6pm AEST)
  • Resolve client concerns promptly, if applicable
  • Source opportunities to enhance client experience
  • Deliver unique, professional event experiences
  • Event Sales & Promotion
  • Gather client requirements and match with suitable packages
  • Close event bookings
  • Record all enquiries in Master Schedule
  • Follow up enquiries within one week
  • Promote Quest Robina facilities and accommodation
  • Cross-sell accommodation and property services
  • Administration & Finance
  • Process conference bookings via RMS
  • Update Master Schedule and Outlook calendar
  • Secure 15% non-refundable deposit
  • Ensure full payment 7 days prior to event
  • Maintain accurate booking forms and payment records
  • Assist in budget tracking and department P&L understanding
  • Generate reports from RMS and any other tools as required
  • Business Operations
  • Monitor conference stock and reorder as required
  • Ensure accurate tracking of conferences and revenue
  • Assist with monthly budgeting and revenue forecasting
  • Compliance & Safety

Responsible Service of Alcohol (RSA)

  • Understand RSA to ensure that the events are compliant
  • Adhere to house rules and RCG regulations, as applicable
