A growing US-based roofing contractor is building out its remote support team, and this role is the operational backbone of that effort. As an Estimator & Insurance Support Coordinator, you keep the sales pipeline moving, claims progressing, and clients informed — so nothing falls through the cracks.
This is not a passive data-entry seat. You'll review the pipeline daily, notice when a job has stalled or information is missing, and act on it — chasing sales reps for details, following up with insurance companies on active claims, and keeping the CRM accurate and current. You'll work alongside field sales representatives and report directly to an operations manager who relies on you to surface problems early.
The role combines four recurring rhythms: CRM and pipeline management, outbound insurance claim follow-up by phone (2 hours daily), template-based client communication, and client-facing photo reports, plus estimating support using company templates. No roofing, insurance, or estimating background is required — full training is provided on all systems and industry-specific tasks. What can't be trained is a sharp eye, confident phone communication, and genuine ownership of your work.
In your first 90 days, you'll be expected to keep the pipeline accurate every day, follow up on claims without prompting, and deliver clean client updates on time. Strong performers in this role directly protect both the client experience and company revenue.
Responsibilities
Pipeline Scrubbing & CRM Management
- Review the sales pipeline daily to assess where every job stands
- Identify stagnant or stalled jobs and flag them for manager review
- Contact sales reps via Podium or CRM messaging to gather missing information and move jobs forward
- Update job records in the CRM accurately and promptly
- Escalate inconsistencies, missing documentation, or unusual patterns to the operations manager
Insurance Company Follow-Up
- Spend approximately 2 hours per day on outbound calls to insurance companies on active claims
- Follow up on pending claims, request status updates, verify coverage, and document outcomes in the CRM
- Communicate clearly and professionally with adjusters and representatives
- Track call activity and flag claims that need escalation
Client Communication
- Send timely, professional, template-based client emails at key job stages
- Respond to basic client inquiries or route them to the right team member
- Represent the company well in every interaction
Photo Reports & Estimating Support
- Build organized, professional client-facing photo reports from field-team photos
- Assist with estimates using company templates and pricing guidelines
- Enter completed estimates into the CRM accurately
General Administrative Support
- Maintain organized, up-to-date job files and records
- Support the operations manager and sales team with day-to-day tasks
- Follow established workflows while flagging gaps or inefficiencies
Requirements
- Strong attention to detail — you notice things others miss and act on them
- Clear, confident, professional spoken English for daily phone calls with US insurance representatives
- Proven experience managing records or a pipeline in a CRM platform
- Excellent written English for accurate, on-brand client emails
- Proactive and self-directed — you flag problems before being told
- Comfortable making outbound business phone calls and conducting professional follow-up
- Reliable, consistent, and able to work independently in a remote environment
Nice to Have
- Prior administrative, coordinator, or operations support experience
- Experience communicating with insurance companies or adjusters on behalf of a contractor
- Background in roofing, construction, or insurance restoration
- Familiarity with Podium or a similar business texting platform
- Compensation up to $8/hour
