Role Overview
The Engineering Administrator is responsible for planning, coordinating,
and managing the daily scheduling and assignment of technical personnel within the Engineering and Operations teams. This role ensures efficient deployment of Technical Assessors for site inspections and In-House Installers for project execution. The Engineering Administrator serves as the central point of coordination between clients, sales, engineering, and installation teams to ensure timely site visits, resource allocation, and project support.
Key Responsibilities:
Technical Assessor Coordination
- Schedule and assign site visit inspections to Technical Assessors based on location, availability workload, and project priority.
- Coordinate with Sales, Project Management, and Design teams regarding site assessment requirements.
- Monitor and maintain the daily, weekly, and monthly schedules of all Technical Assessors.
- Ensure site assessment requests are assigned and completed within the required service level timelines.
- Track the status of scheduled assessments and follow up on pending or delayed site visits.
- Prepare and distribute assessment schedules and assignment updates to concerned stakeholders.
In-House Installer Coordination
- Schedule and assign installation activities to In-House Installers based on project requirements manpower availability, and installation timelines.
- Coordinate installation schedules with Project Managers, Engineers, and clients.
- Ensure proper manpower allocation for ongoing and upcoming projects.
- Monitor installer availability, attendance, and project assignments.
- Assist in resolving scheduling conflicts and resource constraints.
- Administrative and Reporting Functions
- Maintain accurate records of site assessments, installation schedules, manpower utilization, and assignment histories.
- Generate daily, weekly, and monthly scheduling and manpower utilization reports.
- Update and maintain scheduling databases, trackers, and project monitoring tools.
- Coordinate with various departments to ensure smooth execution of engineering and installation activities.
- Assist in process improvement initiatives related to scheduling, resource planning, and operational efficiency.
- Communication and Coordination
- Serve as the primary point of contact for scheduling concerns involving Technical Assessors and In-House Installers.
- Communicate schedule changes, updates, and project requirements to relevant teams promptly.
- Coordinate with clients when necessary regarding site visit and installation schedules.
- Escalate scheduling conflicts, resource shortages, and operational issues to management.
Education & Qualifications
- At least 2-3 years of experience in administrative, scheduling, dispatching, project coordination or operations support roles.
- Experience in engineering, construction, renewable energy, or technical service industries is an advantage.
- Strong organizational and multitasking skills.
- Excellent communication and coordination abilities.
- Proficient in Microsoft Office applications, particularly Excel.
- Experience using scheduling, project management, or ERP systems is an advantage.
- Ability to work in a fast-paced environment and manage multiple priorities simultaneously.
