As our Project Coordinator & Estimator, your primary responsibility is to ensure smooth project delivery by coordinating suppliers, subcontractors, shipments, and documentation, while also applying technical estimating expertise to design upgrades and calculate energy savings.

Alongside this coordination, you will apply technical estimating expertise by designing upgrades, calculating energy savings, and preparing proposals that turn sustainability into reality. This dual focus makes the role central to our mission of reducing wasted energy and creating positive impact.

Importantly, this position offers two career pathways: you can progress into a Senior Project Coordinator role if your strengths lie in managing workflows and delivery, or into a Senior Estimator role if your expertise is more technical and calculation‑driven.

WHAT WE'RE LOOKING FOR: MUST HAVE EXPERIENCE

English Language Skills: Strong communication ability with clear, neutral accent for client and stakeholder engagement.
Project & Time Management: Experience coordinating projects, managing schedules, and solving problems effectively.
Lighting Estimation & Electrical Projects: 10+ years of experience in estimating and delivering electrical and lighting projects, supported by solid construction industry background.
LED Lighting Expertise: Deep knowledge of luminaires, IP ratings, beam angles, cutout sizes, and dimming systems.
Technical & Digital Proficiency: Advanced skills in Excel and Microsoft Office, with the ability to leverage AI tools for data analysis, reporting, and process efficiency.
Energy Efficiency Expertise: Demonstrated ability to conduct energy audits and perform energy saving calculations, focused on efficiency rather than renewable energy.
Facilities/Contracting Background (ideal): Experience across electrical, plumbing, and HVAC adds strong value to the role.

Electrical Engineering Experience: Technical foundation that supports estimating and coordination.
Mechanical or Hydraulic Engineering Experience: Useful for broader technical understanding, especially in multidisciplinary projects.
OHS & Risk Management: Understanding of safety standards and compliance requirements.
Australian Industry Familiarity: Experience working with Australian companies and knowledge of local practices.

KEY RESPONSIBILITIES

Coordinate installation projects in collaboration with our project manager
Project setup/documentation in Accelo software (training provided)
Record job costs and other data entry
Help the project manager onboard subcontractors
Send purchase orders to suppliers
Track shipments from couriers
Send invoices to clients
Help to problem solve site issues
Collaborate with project manager to keep jobs on track
Handle email communications with subcontractors to achieve smooth and on time projects
Manage workflows through our project software (Accelo)

Support our sales team to design/specify and quote LED lighting, HVAC, hot water, and other energy efficiency upgrades
Process data (images and asset register) after our team does a site audit
Specify products from our existing database of suppliers (considering cutout, sizes, beam angles, etc.)
Basic design and schematics (e.g. hot water piping)
Calculate energy savings using our existing XL templates
Estimate labour costs and installation time
Create Scope of Works documents for electricians and plumbers
Create PDF proposals using our existing templates
