About the role
We are looking for someone to enhance our email and social campaigns and treat it as a system rather than a series of one-off sends. As we start to drive campaigns to cold emails, we are looking to use the Instantly.ai tool, we need this person to own Instantly end to end: the sending infrastructure behind it, the lists that feed it and the sequences that run through it.
Social sits alongside that as a supporting channel. It should reinforce the email campaign, with email as the primary focus of this role and where the majority of the time goes. WHAT YOU'LL OWN
1. The outbound engine — Instantly
Instantly is our outbound platform for cold contacts and you are its owner. Day to day, that looks like:
• Building and running multi-step, multi-variant sequences against segmented target lists.
• Provisioning and managing sending infrastructure: secondary domains, mailboxes, inbox rotation, warm-up schedules, and daily volume ramps.
• Sourcing, enriching, verifying, and deduplicating lead data before it touches a campaign.
• Working the unified inbox daily: triaging replies, handling objections, qualifying interest, and getting hand-raisers to sales fast.
• Testing relentlessly — subject lines, opening lines, offers, CTAs, cadence, send timing — and turning winners into documented playbooks.
Deep, hands-on Instantly experience is the single most important qualification for this role. If you have run comparable volume through Smartlead, Lemlist, Hubspot or Apollo, we will absolutely talk — but you should expect to be in Instantly from week one.
2. Deliverability and sender reputation
Volume is easy; inbox placement is the hard part. You own it.
• Monitoring domain and IP reputation, spam placement, blacklists, and authentication (SPF, DKIM, DMARC).
• Diagnosing and fixing bounce spikes, complaint rates, throttling, and reputation damage — ideally before anyone else notices.
• Enforcing list hygiene: verification, bounce handling, suppression lists, and re-engagement or sunset rules.
• Keeping every send compliant with CAN-SPAM, CASL, GDPR, and applicable privacy law, partnering with legal and compliance where needed.
• The handoff between outbound (Instantly) and lifecycle (HubSpot), so a prospect experiences one journey rather than two disconnected programs.
• Lead routing, lifecycle stages, and clean data flow between email platforms and CRM.
3. Social — as an amplifier
Social is a real responsibility here, just a secondary one. You keep it consistent and useful rather than reinventing it every quarter.
• Maintaining a steady publishing cadence across LinkedIn, Facebook, X, and other priority platforms.
• Turning whatever is working in email — angles, offers, proof points — into social content, and pulling social signal back into email targeting.
• Day-to-day engagement: monitoring comments, messages, and mentions, and responding on-brand.
• Extra coverage during launches, events, and announcements, coordinated with the rest of marketing.
4. Measurement
You should be able to answer did email make us money this quarter without a week of prep work.
• Reporting the full funnel: delivery, inbox placement, open, reply, positive reply, meetings booked, opportunities, and pipeline influenced.
• Building the dashboards leadership actually reads, with the recommendation attached — not just the numbers.
• Tracking cost per lead and cost per meeting, and driving both down over time.
• Killing what does not work quickly, and scaling what does.
WHAT YOU NEED TO BRING
• 4+ years running B2B email marketing, ideally in SaaS or technology.
• Hands-on ownership of a cold outreach platform at volume — Instantly strongly preferred; Smartlead, Lemlist, or Apollo considered.
• Real deliverability knowledge. You can explain what DMARC does, why a domain got throttled, and how you would recover it.
• A track record of sequences that produced replies, meetings, and pipeline — with numbers you can talk through.
• Copywriting that sounds like a person wrote it. Short, specific, and not templated.
• Comfort with list building, enrichment, and verification tooling.
• Enough social fluency to run the channel competently without needing hand-holding.
• Working knowledge of CAN-SPAM, CASL, and GDPR as they apply to outbound.
• The judgment to work live replies and prospect conversations without supervision.
NICE TO HAVE
• HubSpot (or comparable marketing automation and CRM) experience.
• Social management and analytics tools: Sprout Social, Brand Mentions, Oktopost, native platform analytics.
• Other tools in our stack: Canva, Adobe Creative Suite, Monday.com, Pictory.ai, Socxo, StreamYard, Yoast, ChatGPT, Claude.
• Landing pages, forms, and conversion rate optimization.
• SEO and content marketing fundamentals.
• Experience in a regulated or publicly traded company environment.
• Bachelor's degree in Marketing, Communications, or a related field — or the equivalent in demonstrated experience.
