Job Title: Executive Assistant to the CEO – Ecommerce Industry

The Opportunity
We're looking for an exceptional Executive Assistant to the CEO to become the CEO's trusted right hand. This is not a traditional admin role — you'll be involved in business strategy, leadership meetings, major projects, and helping drive the company forward.
You'll work directly with the CEO to organise priorities, remove distractions, and ensure important work gets done. You'll become the central point of coordination between departments, keeping projects on track and making sure nothing falls through the cracks.
No two days are the same — one morning might be organising leadership meetings and following up on action items, the next you could be preparing reports, researching suppliers, supporting recruitment, or coordinating a new product launch.
Key Responsibilities
- Manage the CEO's diary and priorities
- Coordinate meetings, agendas, and action points
- Follow up with managers to ensure deadlines are met
- Prepare reports, presentations, and business documents
- Screen emails and prioritise communications
- Track multiple business projects simultaneously
- Organise travel and appointments as needed
- Help improve internal systems and processes
- Conduct research on products, suppliers, and business opportunities
- Assist with recruitment and onboarding
- Maintain confidentiality at all times
- Anticipate problems before they arise
- Act proactively rather than waiting to be asked

- Confident using Microsoft 365, Teams, Excel, and AI tools such as ChatGPT and Claude
- A fast learner who stays calm under pressure
- Able to work independently with minimal supervision
- Discreet, trustworthy, and comfortable handling confidential information

Preferred (Not Essential)
- Previous Executive Assistant, Personal Assistant, or Operations Coordinator experience
- Experience supporting founders, CEOs, or senior executives
- Background in ecommerce, retail, or Amazon businesses
- Project management experience
- Familiarity with ClickUp, Monday.com, Asana, Planner, or similar tools
