Job Purpose

The Document Management Associate is responsible for ensuring the accurate, timely, and organized processing, tracking, and maintenance of financial and business documents. This role supports compliance and operational efficiency through proper document handling and record management. It is an excellent opportunity for fresh graduates and early-career professionals to gain hands-on experience in document management, finance operations, compliance, and business processes within a global organization.

Principal Duties and Responsibilities

Document Processing & Compliance

  • Collect, review, and verify financial documents ensuring completeness, accuracy, and adherence to company policies and regulatory requirements.
  • Properly categorize and segregate documents such as invoices, official receipts (ORs), debit/credit notes, and payment records for efficient processing and retrieval.
  • Ensure compliance with BIR regulations, internal controls, and audit standards by conducting preliminary legality checks on financial documents.
  • Maintain a systematic document tracking system, ensuring timely submission, approval, and archiving critical financial documents.

Qualifications

  • Bachelor's degree in business administration, Office Administration, or other related courses.
  • Strong attention to detail and ability to review documents for completeness and accuracy.
  • Organized and able to manage multiple documents and tasks while meeting deadlines.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Good written and verbal communication skills.
  • Able to maintain confidentiality and handle sensitive financial information with integrity.
  • Willing to learn and adapt in a fast-paced work environment.
