Job Description

We are looking for a meticulous and process-driven Documentation Associate to join our Legal Team. This role supports the preparation, review, processing, and monitoring of sales and property-related legal documents to ensure full regulatory compliance and smooth ownership transfers. This position is critical in safeguarding documentation accuracy, coordinating with government agencies, and supporting the legal integrity of our condominium and subdivision transactions.

Key Responsibilities

Legal Documentation & Contract Support

  • Assist in preparing and reviewing Contracts to Sell, Deeds of Absolute Sale, and related tax forms
  • Ensure all documents comply with company policies and applicable legal requirements
  • Maintain proper document control, secure filing systems, and accurate records
  • Coordinate with Sales, Finance, and other internal teams to ensure documentation completeness prior to processing

Title Registration & Regulatory Coordination

  • Support processing of land titles and tax declarations
  • Coordinate submissions and follow-ups with the Bureau of Internal Revenue (BIR), Registry of Deeds (ROD), and local assessor's offices
  • Assist in preparation of documents related to Capital Gains Tax, Documentary Stamp Tax, and transfer taxes
  • Monitor and track progress of title transfers to ensure timely completion

Property Due Diligence & Acquisition Support

  • Assist in collecting and organizing legal documents for property acquisitions
  • Coordinate with relevant agencies for title verification and property checks
  • Support preparation of documents for land registration and title transfers

Records Management & Reporting

  • Maintain organized and secure filing systems for contracts, titles, and legal records
  • Prepare regular status reports on documentation and title processing
  • Ensure proper archiving in accordance with company and regulatory standards

Stakeholder & Client Support

  • Serve as a point of contact for documentation-related inquiries
  • Provide timely updates to buyers and internal teams regarding requirements and processing status
  • Escalate discrepancies or compliance issues when necessary

Qualifications

  • Bachelor's degree in Legal Management, Business Administration, Real Estate Management, or related field
  • Basic understanding of real estate documentation and title registration processes
  • Familiarity with coordination involving the BIR and Registry of Deeds is an advantage
  • Strong attention to detail and accuracy in handling legal documents
  • Organized, deadline-driven, and able to handle confidential information
  • Proficient in Microsoft Office applications
  • Strong communication and coordination skills
