Job Description

We are seeking a dedicated Document Controller to join our team. In this role, you will be responsible for delivering day-to-day document control activities across allocated projects, ensuring the integrity, accuracy, and timely flow of controlled documentation. The role focuses on maintaining high-quality metadata, applying approved numbering and revision practices, conducting basic quality checks, and ensuring compliance with internal standards, SOPs, and client requirements. The Document Controller supports project teams by managing documentation workflows within the electronic document management system (EDMS) and providing guidance on document control processes.

KEY RESPONSIBILITIES

Document Control

  • Register, track, archive, and distribute controlled project documents, reports, and manuals within internal and client EDMS platforms using standard numbering and revision controls.
  • Promptly issue transmittals and process RFIs, ensuring acknowledgments are recorded, registers stay current, and responses meet project deadlines.
  • Maintain structured filing system compliance with project SOPs, audit requirements, and closeout/retention standards.
  • Manage EDMS access and permissions for project stakeholders, guide teams on document SOPs, and follow up on overdue deliverables.
  • Provide feedback to optimize document control processes and support continuous improvement.

Technical Admin Support

  • Assist engineers and project teams with formatting, preparing, and conducting quality control on documents, drawings, and reports.
  • Prepare key project deliverables, including document registers, transmittal logs, and closeout data packages.
  • Perform ad hoc reporting and data analysis to support management decisions, identifying and escalating workflow bottlenecks.

Teamwork

QUALIFICATIONS

  • Must have a Tertiary Qualifications in Business Administration, Finance, Logistics, Supply Chain Management, Engineering or relevant field
  • 2+ years of working experience in a similar role gained in the construction, or other similar project management industry
  • Prior experience in multi-discipline design and construction environments for major projects.
  • Experience with InEight Document or similar metadata-driven EDMS platforms
  • Proficient in industry filing systems, revision control, document numbering, and EDMS platforms (preferably metadata-driven systems like InEight Document), alongside advanced Microsoft Office and SharePoint skills.
  • Strong administrative and IT capabilities with a proven track record of managing multiple databases, understanding time/cost/quality targets, and maintaining high precision.
  • Excellent written and verbal communication skills, with the ability to liaise effectively across all organizational levels, including client document controllers, project managers, and external suppliers.
  • Logical, practical, and highly detail-oriented with a strong focus on outcomes and customer satisfaction
