DOCUMENT CONTROLLER - PHILLIPINES

JOB SUMMARY

We are seeking a highly motivated On-site Project Document Controller to join our wind turbine supplier team for utility-scale wind power projects. This role involves working closely with project managers, engineers, and other partners to ensure to manage, track, and secure all project documentation throughout the project lifecycle.

KEY RESPONSIBILITIES

1. Document Lifecycle Management:

  • Control end-to-end document lifecycle (numbering, version control, tracking, distribution, and archiving);
  • Ensure high accuracy and consistency of all English project deliverables, correspondence, and technical records.

2. Platform & Data Governance:

  • Oversee document control platforms (SharePoint/DMS), ensuring proper folder structures, user access control, and core data backups to maintain data security.

3. Cross-Regional Coordination & Compliance:

  • Establish localized document compliance systems adhering to project standards and local regulatory requirements;
  • Serve as the primary on-site interface for cross-regional collaboration among China HQ, APAC regional teams, local contractors, and clients.

4. Quality Control & Reporting:

  • Conduct regular document quality inspections, develop localized templates, and generate progress reports to support management decisions.

5. Confidentiality & Audit:

  • Implement strict document confidentiality policies and perform periodic compliance audits to mitigate operational and data risks.

REQUIRED EXPERIENCES

Education: Bachelor's degree or above (Majors in Business Administration, Information Management, Engineering, or Project Management preferred).

Experience:

  • Minimum 2 years of full-time document control experience, preferably in multinational energy, engineering, construction, or heavy manufacturing projects;
  • Hands-on experience with SharePoint or specialized Document Management Systems (DMS) and familiarity with ISO documentation standards is a strong plus.

Skills & Mindset:

  • Proficient in English (spoken and written) for business communication, translation, and cross-cultural coordination;
  • Strong attention to detail, logical thinking, zero-defect awareness;
  • Ability to handle multi-tasking under tight deadlines with a strong PMO/project management mindset.

WORKING CONDITIONS

  • Based on-site at wind farm construction locations;
  • Routine interaction with team mainly from China and local;
  • May involve rotational shifts and extended hours during key project phases.
