Job Title: Document Controller General Construction ProjectJob Overview:
The Document Controller is responsible for managing all documentation related to the construction project. This includes handling the flow of project documentation, ensuring the accuracy and timely distribution of materials, and maintaining a systematic filing system for both digital and hard copy records. The role requires close collaboration with project managers, engineers, contractors, and other site personnel to ensure that all project documents are properly filed, tracked, and updated.
Key Responsibilities
- Document Management:
- Maintain and update all project-related documentation, including contracts, drawings, specifications, reports, and change orders.
- Create, organize, and maintain filing systems (physical and digital) for easy retrieval of project documentation.
- Ensure that all documentation is correctly formatted, labeled, and cataloged for easy access.
- Document Distribution:
- Distribute documents and correspondences to relevant stakeholders in a timely manner.
- Track document revisions and ensure that the most current version is available to all team members.
- Compliance and Quality Assurance:
- Ensure that all documentation is compliant with company and project standards, as well as industry regulations.
- Assist with internal audits to ensure adherence to quality control procedures related to documentation.
- Version Control:
- Maintain version control of project documents, ensuring that all changes are logged and all stakeholders are aware of revisions.
- Ensure that archived documents are properly labeled and stored for future reference.
- Communication:
- Act as the central point of contact for any documentation-related inquiries on the construction site.
- Liaise with project managers, contractors, engineers, and subcontractors to ensure seamless communication regarding document flow and updates.
- Document Storage:
- Manage the storage of digital documents on project management software and other electronic platforms.
- Ensure that hard copies of documents are properly filed and stored in secure locations on-site.
Qualifications
Education:
- High school diploma or equivalent, business administration, or related field preferred.
Experience
- At least 0 to 1 year of experience in a document control role, preferably in construction or related industries.
Skills
- Proficient in document management software (e.g., Procore, Aconex, SharePoint).
- Strong organizational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work under pressure and meet tight deadlines.
- Familiarity with construction terminology and processes.

- Good understanding of project lifecycle and the role documentation plays in project success.
Work Environment
- This role is based on a construction site, with some office work.
- PPE (Personal Protective Equipment) may be required, and adherence to safety regulations is essential.
